The Opportunity: Executive Assistant

 We are seeking an experienced and professional Executive Assistant to support a Partner who leads ICONIQ’s network of Fortune 500 C-level technology executives (e.g. CTO/CIOs). This position will handle core executive assistant duties as well as a wide array of other responsibilities including event management, data management, mailing list management, and special ad hoc projects. Confidentiality, sound judgment, tact, problem-solving, effective multitasking and a strong work ethic are imperative to success. The Executive Assistant will also collaborate closely with other members of the ICONIQ Growth Support Team and other ICONIQ colleagues across the firm.

Principal Responsibilities:

  • Ensure seamless flow of executives’ day to day activities and manage all related components
  • Own and proactively manage complex, high-volume, and both internally and externally focused calendars across multiple time-zones
  • Event execution; coordinate closely with restaurant venues to organize private room dinner gatherings of 15-25 C-level executives that partner hosts on an approximately monthly basis across North America and occasionally in Europe; create, manage and update personally-tailored calendar invitations we send out to our event guests
  • Seamlessly coordinate travel with firm travel partner, often on short notice and at times outside of business hours
  • Work effectively communicating with very senior executives and their senior EAs
  • Take care to build internal rapport & trusted relationships across the ICONIQ team and work collaboratively with Support Team within Growth as well as colleagues across the firm; this role requires an especially high level of collaboration and partnership with teammates across the firm
  • Regularly capture & update data on external relationships into salesforce so that we can maintain a record of all external meetings, invite all key C-level relationships to relevant events ICONIQ hosts in different cities; and provide regular updates to Partner on all the new relationships that have been added to our CRM & newsletter mailing lists
  • Logistical organization for mass outreach efforts, including significant volume of marketing sends, holiday gift/card campaigns, etc.
  • Manage and process monthly expense reports
  • Timely responsiveness outside of “regular” business hours
  • The Executive Assistant will also provide light support to two Sr. Associates on the Portfolio Operations team that work closely with the Partner

Qualifications:

  • 3 years of experience in an executive support role
  • 1 years of experience working in Private Equity, Investment Banking, Wealth Management, and/or Consulting environments ideal but not required
  • Desire to learn and work as a team player in an entrepreneurial, high-pressure, dynamic environment
  • Superior communication skills, tact, unquestioned integrity, and the experience, confidence, and presence to work with all levels of the firm including external counterparts
  • Highly motivated, self-driven, solution and detail-oriented
  • Positive attitude, no task too big or too small
  • Strong time management skills: ability to handle multiple concurrent assignments with a strong degree of accuracy and meet deadlines in a high-pressure environment
  • Ability to think independently and provide creative solutions
  • Strong emotional intelligence and ability to diplomatically navigate complex situations with composure and grace
  • Bright, upbeat, thoughtful
  • Expert experience with Microsoft Office required (especially Outlook, Word and some PowerPoint), experience with Salesforce ideal but not required

Compensation Range: ICONIQ is required by law to include a reasonable estimate of the salary range for this role, together with other compensation being offered such as a discretionary bonus, health insurance, and other perks. There are several factors taken into consideration in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. At ICONIQ, we apply a total reward philosophy where all aspects of compensation and benefits are taken into consideration in determining compensation terms. A reasonable estimate of the current salary range is $120,000.00 – 130,000.00 together with a discretionary bonus, health insurance, paid time off, 401k participation with a company matching program, wellness stipend, personal education allowance as well as a commuter benefits program.
