Messerli Kramer is seeking a highly motivated and detail-oriented individual to join our legal team as an Administrative Assistant. This is an excellent opportunity to work in a dynamic and fast-paced environment, collaborating with talented professionals, and gaining valuable experience in the legal industry.

POSITION DETAILS:

The Administrative Assistant plays a key role in assisting our Legal Administrative Assistants and Paralegals with mailing, copying, scanning and printing projects. This role also serves as backup to our Receptionist, when needed. 

Responsibilities:

  • Oversee, maintain and organize onsite files in file room
  • Assist with file transfer process, specifically with the transfer of physical files to attorneys and clients within established time frames. Ensure returned files are properly logged and placed back in their proper location
  • Evaluate current cataloging system for completeness, efficiency and usefulness by conducting periodic inventories and reviewing retrieval needs
  • Conduct conflict checks and assist with file opening process
  • Copy projects (primarily record books and closing books)
  • Printing and scanning projects
  • Handle incoming and outgoing mail and packages
  • Review and sort incoming mail and faxes 
  • Date stamp mail and scan per guidelines 
  • Enter files into the document management system 
  • Categorize documents for scanning by reviewing content on document 
  • Process outgoing mail 
  • Must be comfortable standing and working at a counter with various machines including copiers, scanners and mail machine
  • Assist LAA’s and Paralegals with bulk mailings and billing, as necessary
  • Review on-site files and incoming files to remove unnecessary information as well as staples, post-it notes, etc. so the files can be scanned electronically
  • Assist with onboarding and off boarding attorney files
  • Shift files to accommodate space
  • Scan and import documents for onsite closed files
  • Train and review open file process with other admins
  • Make messenger runs to nearby offices, downtown
  • Cover Reception desk for breaks and as needed 
  • Prepare and edit correspondence and documents
  • Coordinate office supply orders and ensure inventory levels are adequate
  • Assist with organizing company events and meetings, including booking venues and coordinating catering
  • Assist with basic accounting tasks, such as processing invoices and expense reports
  • Collaborate with team members to ensure efficient workflow and communication within the office
  • Other administrative tasks as assigned

Requirements

Qualifications

  • Proven experience as an administrative assistant or in a similar role
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other office software
  • Excellent verbal and written communication skills
  • Strong organizational and time management skills with the ability to multitask and prioritize workload
  • Attention to detail and high level of accuracy in work
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information
  • Positive attitude and willingness to take initiative
  • Flexibility to adapt to changing priorities and deadlines
  • Excellent customer service and professional attitude are a must 

Physical Demands/Working Conditions:

· Physical activity required including bending, reaching, lifting and prolonged periods standing

· May lift and/or move up to 25 lbs

· Mental qualifications include the ability to perform all responsibilities efficiently and effectively

· Ability to properly dispose of records or other classified company material

· Excellent communication skills, both verbal and written

· Strong commitment to client service; ability to work with and take direction from multiple individuals, as well as the ability to work independently
