Massachusetts Gaming Commission is Hiring an Office Support Specialist Near Boston, MA

Description

The Bureau of Health Professions Licensure (BHPL) under the Department of Public Health (DPH) is seeking a dynamic administrative professional to engage and coordinate administrative operations and activities related to licensure of health professionals.

Duties and Responsibilities (these duties are a general summary and not all inclusive):

  • Maintain office operating procedures and assist in developing and coordinating implementation of new ones with the input and approval of the Executive Director.
  • Attend Board Meeting Meetings and capture meeting minutes accurately.
  • Answer routine office correspondence relative to licensing process, applications, regulations, policies, and licensing laws.
  • Maintain files and records such as complaint, correspondence, electronic and telephone responses/inquiries.
  • Receive walk-in, written, e-mail and telephone inquiries and answer or refer them to appropriate parties for action.
  • Draft letters, memoranda, and reports for review by Executive Director & Assistant Executive Director.
  • Process license applications and maintain entries in the licensing database.
  • Support liaison with various local, state, and federal agencies and professional organizations as needed.
  • Develop applications for licensure and other required forms under the directions of the Executive Director for new Boards as assigned.

Required Qualifications:

  • Ability to communicate, multi-task and prioritize effectively.
  • Skilled in the ability to write well, listen attentively to details, and capture meeting essentials accurately.
  • Talent for assisting constituents and the general public of diverse backgrounds.
  • Capacity to follow guidelines and procedures.
  • Demonstrated knowledge of software applications such as desktop publishing, project management, spreadsheets, and database management.
  • Experience and ability to work independently and in teams.
  • Ability to organize various program applications, licensing materials, correspondence in a very organized manner.

Preferred Qualifications:

  • Solid workload management and problem-solving skills; capacity to balance workload.
  • Capability to operate copiers, fax machines and other office equipment.
  • Competency in performing multiple functional tasks.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.

Qualifications

First consideration will be given to those applicants that apply within the first 14 days.Office Support Specialist I:Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:Substitutions:I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.Educational substitutions will only be permitted for a maximum of two years of the required experience.
