Nixon Peabody LLP is Hiring a Litigation Support Specialist Near Boston, MA

The Litigation Support Specialist is responsible for managing various aspects of the Litigation process. This position is among a dynamic team of attorneys, paralegals and secretaries who oversee all aspects of the BOS office’s Litigation team. An onsite work arrangement is required for this position.

Location: Boston, MA

  • Assist with all aspects of court submissions/filings. Including knowledge and application of various court requirements.
  • This includes the collection of documents, mailing, service, and submission of the filing (both hard copy and e-filings). Ensuring that documents are properly printed and assembled prior to submission.
  • Assist with downloading court documents, saving to Net Documents and coordinate printing
  • Prepare, index and update pleadings and discovery binders.
  • Produce and file various legal documents including motions, petitions or appeals.
  • Manage all aspects of attorneys’ calendars including key litigation deadlines. Maintain constant awareness of whereabouts of those individuals being supported. As necessary, reschedule appointments with clients and/or firm management and modify all related details. As necessary, reschedule travel plans and/or reroute travelers on short notice and modify all related details.
  • Manage all travel arrangements including flight, car, hotel, dinner; and contact clients directly to schedule meetings in an order that will allow for the most efficient use of the attorneys’ time when on business trips. Research and coordinate, business development meetings/events related to the practice. Manage highly complex calendars and travel schedules and see to all related details, such as file preparation, conference room reservations, catering needs, agenda preparation and distribution, etc.
  • Promptly prepare expense reimbursements, verifying for accuracy and ensuring proper documentation is provided.
  • Coordinate client billing with paralegals, the billing coordinator and the primary billing attorney.
  • Coordinate time entry with primary billing attorney.
  • Maintain accurate records of all business development and client contacts.
  • Oversee day to day operations including but not limited to, litigation files (paper and electronic) and be able to retrieve any document as requested at any time.
  • Produce engagement letters. This includes processing conflicts and new business forms.
  • Greet clients/visitors to the Firm as it relates to the Litigation department practice.
  • Work with attorneys and paralegals to ensure prompt service to clients.
  • Perform other duties as assigned.

Job Requirements:

  • 5-7 years of relevant experience within a law firm setting.
  • Bachelor’s Degree required. Experience in lieu of a degree will be considered.
  • Excellent communication skills, both verbal and written.
  • Attention to detail with the ability to handle difficult situations and meet varying deadlines.
  • Interpersonal skills with the ability to work with personnel at all levels.
  • Strong research, proofreading and editing skills.
  • Proficient in Microsoft Office Suite (i.e. Excel and Power Point).
  • Ability to work independently with minimal supervision.
  • Demonstrated ability to handle multiple tasks concurrently.
  • Willingness to learn new skills involving Litigation law.

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position, depending on location, is as follows: Boston, MA: $68,104 to $98,788

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range(s) are Nixon Peabody’s good faith estimate of the annual salary(ies) it reasonably expects to pay for the position at the time of this posting.
