Education and Work Experience:

  1. Education Preferred - AA degree, or certification from an accredited college or trade school in business administration, office management or a related field.

Required - High School diploma or GED.

  1. Work/Professional Experience Preferred - 3 to 5 years of experience in an Executive Assistant position.

Required - 3 years business office experience.

Scope of Position:

The Administrative Assistant will assist the Corps officers of The Salvation Army Portland Moore Street (COs) in handling matters pertaining to the operations of the Corps & Community Center. This includes all office functions associated with the day to day operations of the department. The Administrative Assistant facilitates the flow of communication with the Corps & Community Center staff, Divisional Headquarters, and with the greater community as it has to do with business matters.

Knowledge, Skills and Abilities Required:

The Administrative Assistant must know how to use a computer effectively and efficiently in the working environment; use standard office equipment (e.g. copier, multi-line telephone, keyboard); use standard office practices and procedures; read, write, and speak the English language to express ideas and communicate effectively.

The Administrative Assistant must be able to type 40 wpm with minimal error; preform data entry using database program; use Microsoft software (primarily Outlook, Word, Excel; occasionally Publisher, and Power Point); to correctly create basic documents (notes, memos, emails), and reports; Adobe Acrobat Pro; to use basic math (add, subtract, multiply, divide); to establish working relationships; to possess an attention to detail; and the ability to operate a motor vehicle.

The Administrative Assistant must be able to interact with individuals using generally accepted business behaviors and standards. Use interpersonal skills to deal effectively with others in favorable and unfavorable situations. Train, plan, and direct the work of others. Organize, prioritize, and plan own work. Multitask, i.e., change work focus or respond to change of conditions and interruptions in workflow. Learn new systems and procedures. Problem solve, i.e., the ability to identify problems and find effective solutions.

Managing the Corps & Community Center staff’s HR and Payroll

Essential Duties and Responsibilities:

  • Serves as the primary contact for people reaching out to the Corps & Community Center administrative offices. Serve as primary contact for assigned tasks and projects and resolving HR and Payroll issues.
  • Greet, screen and direct guests and visitors. Answer telephone calls and respond to emails. Route phone calls or take and deliver messages. Return phone calls as needed in relation to job duties.
  • Maintain and coordinate a calendar of all scheduled appointments for the COs. Maintain and update reservation calendar for Corps & Community Center space(s). Give regular updates as to usage of Corps & Community Center space.
  • Prepare and type correspondences such as memos, emails, letters, etc… Proofread Corps & Community Center documents for correct spelling, grammar, and format, making appropriate changes.
  • Establish, develop, and maintain files and records (paper and electronic) in appropriate filing systems. Retrieve and access files as needed for progress and review, as well as provide reports as requested. Keep files up to date. Protect confidentiality of information.
  • Provide administrative support and backup to the COs for processing paperwork, including contracts and agreements with local entities and headquarters.
  • Perform desktop publishing to create forms, program folders, fliers, and other informational materials.
  • Create, develop, and make visual presentations for events, programs, and meetings as requested.
  • Attend job-related meetings as requested. Take and produce minutes.
  • Work independently and within a team on recurring, seasonal, and special nonrecurring projects, programs, meetings, conferences, and events. Provide administrative support to the COs which may include scheduling, planning, and coordinating programs and presentations, creating, and disseminating information, coordinating information, coordinating mailings and promotions.
  • Receive Corps & Community Center mail to sort, prioritize, and respond as directed.
  • Manage, keep track of, deposit, or mail monetary donations, tithes and offering as is appropriate.
  • Keep track of office supplies to ensure an adequate inventory if on hand and place orders as needed.
  • An understanding that Corps & Community Center events are all hands-on deck.
  • Maintain confidentiality in handling departmental matters. Disclosure of information must be limited to only those who need to know or are otherwise authorized.
  • Maintain a clean and safe work environment.
  • Enforce TSA Protecting the Mission rules and regulations.
