RECEPTIONIST/ADMINISTRATIVE ASSISTANT

OVERVIEW
The Lucy Daniels Center is a growing 501(c)(3) nonprofit organization where children’s mental health is the priority. Founded in 1989, Lucy Daniels Center is the largest nonprofit provider of social, emotional, behavioral, and mental health services exclusively for children in the Greater Triangle area. We serve more than 800 children and their families yearly and provide more than 40,000 hours of direct social, emotional, and mental health services to children from birth to age 11, the time of life when the most effective interventions are possible.
The multidisciplinary team, which includes recognized experts in mental health and education, works together with families to provide a uniquely comprehensive approach, delivering individualized treatment to each child.
LDC’S SERVICES INCLUDE:
  • Therapeutic classroom settings for preschool through Grade 5 children at the Lucy Daniels School.
  • Farley-Manning Family Guidance Service, providing onsite therapy for children and families.
  • SecurePath, a comprehensive in-home mental health service for children birth-5 years old. SecurePath is delivered in conjunction with Wake County SmartStart’s initiative to ensure that emotionally at-risk young children have early intervention services to better prepare them for success in school and life.
  • Lucy’s Link, providing observations and assessments for young children in the community.
  • Resources and Support, Lucy Daniels Center skilled staff provide parenting groups, social skills groups, observations and assessments, caregiver workshops and support groups, and teacher training across North Carolina in partnership with organizations like Telamon Corporation and the Psychoanalytic Center of the Carolinas.

JOB TITLE: Receptionist/Administrative Assistant
REPORTS TO: Associate Executive Director
DEPARTMENT: Administrative & Operations
STATUS: Part-time (25-28hrs per week)
CLASSIFICATION: Non-Exempt
PAY: $15-$19 per hour
THE POSITION SUMMARY
As a part of the Administrative Team, the Receptionist/Administrative Assistant will report to the Associate Executive Director and will work closely with the Admin Staff and our Family Guidance Service clinicians. They will help with general receptionist tasks and other admin tasks that deal directly with clients and insurance providers. This is an on-site position with 5-6 hour days, from Monday through Friday.
The successful candidate is highly organized, and able to take initiative, working autonomously and with the team. The successful candidate can operate in a fast-paced environment while remaining good-natured, resourceful, and efficient. A high level of maturity, integrity, professionalism, discretion, sound judgment, tact, confidentiality, and self-care is crucial.

PRIMARY RESPONSIBILITIES
  • Perform receptionist duties by helping greet and check-in clients and directing them to the appropriate offices or persons (notifying clinicians of arrivals).
  • Registering clients and uploading paperwork into our database.
  • Verifying insurance for clients and getting the necessary paperwork.
  • Managing/updating FGS waitlist.
  • Collecting money from clients for services.
  • Collecting EOBs from insurance providers.
  • Updating client information (insurance, address, phone number, etc.) in database.
  • Tracking when clients need updated registration.
  • Providing factual information for routine inquiries (within the capacity to do so and within prescribed policies).
  • Answering the telephone, taking messages or touring calls, and making appointments as appropriate.
  • Assisting with posting insurance payments.
  • Assisting in submitting insurance claims, and disputing claim denials.
  • Monitoring documents needed for monthly Medicaid audits.
  • Help with supporting our SmartStart/SecurePath program.
  • Help with completing medical records requests.
  • Other duties as assigned.
SKILLS, QUALIFICATIONS, AND ATTRIBUTES
The Receptionist/Administrative Assistant must demonstrate a passion for and willingness to support Lucy Daniels Center’s mission, vision, values, and work. The ideal candidate will possess sufficient experience to execute the responsibilities of the position and demonstrate the following: 
  • Bachelor’s degree, Associate degree, or equivalent relevant work experience.
  • 2 or more years of experience in an office or medical setting, nonprofit, or other relevant fields.
  • Experience with and/or understanding medical billing.
  • Strong reading, writing, and administrative skills; ability to communicate clearly in oral written and numeric forms.
  • Strong organization skills, accuracy, and ability to successfully manage projects.
  • Experience supporting staff, clients, interns, and/or volunteers.
  • Understanding and appreciation of diversity, equity, and inclusion, and desire and humility to grow and learn with the team. 
  • Willingness to extend kindness, compassion, and accountability to oneself and others.
  • Proficient with computer skills and knowledge of database programs.
  • Willingness to operate in compliance with organizational policies and procedures and external (donor/legal/IRS) requirements.
PRIMARY RELATIONSHIPS
This position will work closely with our Administrative Team, which includes the FGS Administrator & Office Manager. This position reports directly to the Associate Executive Director and will interact routinely with the FGS & SecurePath Mental Health Clinicians, as well as other staff members.
