Responsibilities:
- Provide administrative support to ensure efficient operation of the office
- Answer and direct phone calls, emails, mail/ letters, packages and other inquiries
- Greet and assist visitors in a professional and friendly manner
- Light property management duties - collecting rent, VRBO and Airbnb assignments
- Schedule appointments and maintain calendars for multiple individuals
- Coordinate meetings, conferences, and travel arrangements
- Manage office communications and facilitating key tasks and procedures
- Assist with project coordination and follow-up on action items
- Transcribe meeting minutes and distribute to relevant parties
- Maintain office supplies inventory and place orders when necessary
Experience:
- Previous experience in an administrative role is preferred
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational skills with the ability to multitask and prioritize work
- Excellent written and verbal communication skills
- Attention to detail and problem-solving skills
- Ability to maintain confidentiality of sensitive information
Skills:
The ideal candidate should possess the following skills:
- Customer support: Ability to provide excellent customer service to internal and external stakeholders.
- Proofreading: Strong attention to detail for reviewing documents for errors or inconsistencies.
- Typing: Proficient typing skills to accurately input data.
- Front desk: Experience managing front desk operations, including greeting visitors and answering phones.
- Clerical: Knowledge of general clerical duties such as filing, organizing documents, and data entry.
- Project coordination: Experience assisting with project management tasks such as scheduling meetings and tracking progress.
- Calendar management: Ability to effectively manage calendars for multiple individuals.
- Support: Ability and desire to support all staff and adhere to numerous requests
- Must be a self-starter and be able to adapt
