General Summary
The position will greet all visitors and employees at our Irvine office. This position will handle all front desk administrative duties as well as assist our AP department with additional needs and special projects. The right person for this role will be very friendly, punctual, reliable, flexible, and resourceful.
Essential Job Functions
• Greet and direct visitors
• Handle queries and complaints via phone, email and general correspondence
• Ensure messages are passed to the appropriate staff member
• Manage conference room availability
• Ensure that conference rooms are set-up and ready for meetings
• Receive, sort, distribute, and dispatch daily mail
• Handle transcription, printing, photocopying and faxing
• Assist in travel arrangements
• Manage office inventory such as stationery, equipment, office/kitchen supplies and furniture
• Maintain safety and hygiene standards of the reception area and conference rooms
• Handle special projects as assigned by manager, executives or HR
• Cross train and handle AP projects as they are given
• Assist in SAP (Concur) expense reporting
• Provide administrative support to AP team

Required Education and Experience
• High School Diploma or GED
• 1 Years of related experience
• Experience with MS Office (Word, Excel, PowerPoint, Outlook)
• Experience using SAP (Concur) is a Plus!
Physical Requirements
Seeing: Must be able to see well enough to read reports.
Hearing: Must be able to hear well enough to communicate with customers, vendors and employees.
Climbing/Stooping/Kneeling: Must be able to stoop or kneel to pick up products.
Lifting/Pulling/Pushing: Must be able to lift up to 10 pounds.
Fingering/Grasping/Feeling: Must be able to type and use technical sources.
