KMRG, LLC is Hiring an Office Support Specialist (Part-Time) Near Salt Lake, UT

ROLEWe need an experienced Office Support Specialist to support the National Park Service (NPS), National Trails Intermountain Region (NTIR) employees for the U.S. Department of Interior (DOI).This is a part-time position that can be renewed based on the employee's desire to continue and satisfactory performance.

RESPONSIBILITIES
  • Respond to brochure and other information materials requests received via email, telephone, and mail
  • Prepare information packages for mailing
  • Track brochure statistics and creates annual statistics report
  • Submit shipping requests to the warehouse
  •  Notify warehouse/NTIR staff of any discrepancies and revisions
  • Record phone greetings
  • Use a Voice over Internet Protocol (VoIP) phone to answer and respond to the office’s general phone line/voicemail
  • Organize inventory supplies and storage areas
  • Research inventory items online
  • Send inventory re-supply lists and new purchase requests to staff with purchase authority
  • Manage copier service agreements, inventories, stock supplies (i.e., mail tapes, ink)
  • Troubleshoot office equipment repairs
  • Coordinate US Postal Service (USPS), UPS, and FedEx mail for all NTIR Salt Lake City Office employees
  • Pick up and disseminate incoming mail, stamps, and sends outgoing mail
  • Submit USPS package pick-up services
  • Order free USPS mail supplies
  • Process incoming and outgoing UPS/FedEx packages (i.e., dropping off pre-stamped packages at stores, drop boxes)
  • Maintain logs for government-owned vehicles
  • Coordinate a vehicle check-out calendar
  • Collect and mail vehicle receipts to the Santa Fe office
  • Schedule appointments and take vehicles for routine maintenance (i.e., oil changes, tire rotations)
  • Oversee NTIR's National Parks Passport program
  • Contact sites for interest in the program and send NTIR's Passport Form for new or replacement stamps
  • Maintains a log of all sites currently providing stamps to visitors
  • Track expiring passport stamps
  • Inform the Chief of Interpretation of the expected costs of renewing passports annually
  • Update databases with information provided by staff (i.e., ArcGIS Online, NP Gallery)
  • Use the NTIR image inventory to update GIS databases
  • Respond to email inquiries via ntir_information@nps.gov and fulfills information requests
  • Communicate with other employees to answer technical questions, follow up on requests, and organize emails
  • Support NTIR's Jr. Ranger Program
  • Send and receive Jr. Ranger books, other materials, and check booklets for completeness
  • Mail Jr. Ranger items (i.e., signed certificates) to those who completed the program
  • Photocopy, print, fax, and scan documents
  • Train his/her replacement or NTIR staff to perform duties upon request
KNOWLEDGE & SKILLS
  • Proficient in office administration duties (i.e., mail processing, filing, and budget management)
  • Exceptional customer service skills (telephone and in-person)
  • Detailed-oriented and highly organized
  • Excellent written and oral communication skills
  • Knowledge of mailing, packaging, and shipping processes

  • Bachelor’s Degree preferred

TELEWORK
  • Once a week —Max. 6 hours per week
