US Department of the Air Force - Agency Wide is Hiring an Executive Support Specialist Near Salt Lake, UT

Duties

DUTY 1: Assists the commander/director in management of administrative functions. Assists the commander/director in accomplishing all necessary internal operations to include general administrative support and personal assistance.
DUTY 2: Provides protocol support for visits and events. Plans, arranges, executes and/or provides advice to points of contact for a wide variety of formal and informal, ceremonies, meetings, receptions, and observances.
DUTY 3: Serves as the organizational liaison for administrative processes in support of commander's/director's personnel programs. Conducts administrative review, editing, and coordination of military performance appraisals/reports.
DUTY 4: Develops and maintains protocol and administrative program procedures, guides, and records. Establishes and maintains protocol and administration program policy.

  • All new DCIPS employees are required to complete a two-year DCIPS trial period.
  • Position is designated special-sensitive, incumbent must be able to obtain and retain a Top Secret (TS) security clearance with access to Sensitive Compartmented Information (SCI). A non-disclosure agreement must be signed.
  • If authorized, PCS will be paid IAW JTR and AF Regulations. If receiving an authorized PCS, you may be subject to completing/signing a CONUS agreement. More information on PCS requirements, may be found at: https://afciviliancareers.com/regulatory/
  • This posn is subject to provisions of the DoD Priority Placement Program
  • Must be registered for Selective Service, see Legal and Regulatory Guide
  • This position has been designated as a Testing Designated Position (TDP) under the Air Force Civilian Testing Program. Employee must pass initial and periodic short notice drug testing.
  • Incumbent is subject to work other than normal duty hours, which may change daily due to operational requirements, and is subject to after duty hours recall based on operational situations.

  • Office portion of work is in a field support setting or traditional office settings in a windowless vault/secure facility with artificial lighting, air conditioning, and heating.
  • Incumbent may be required to carry a pager, phone, or radio during on and off duty time and must be prepared to travel on short notice to CONUS or OCONUS locations.

Qualifications

In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Administrative and Management Positions
This is a GG-11 position in the Defense Civilian Intelligence Personnel System (DCIPS). The GG-11 duties for the "Professional" work category are at the "Full Performance" work level and are equivalent to those at the GS-11 level. The selectee's salary will be set within the grade equivalent to a GS/GG grade based on the selectee's qualifications in relation to the job.
EXPERIENCE REQUIRED: Your resume must reflect the quality level of experience which demonstrates the possession of the knowledge, skills, abilities, and competencies necessary for successful job performance required for this position. Examples of creditable experience include: Having the quality level experience which demonstrates experience that has equipped the applicant with the particular competencies/knowledge, skills, and abilities to successfully perform the duties of the position and is typically in or related to the work of the position to be filled. Examples of creditable experience include: Knowledge of various office automation software programs, tool, and techniques to support office operations and produce a variety of documents such as invitations, place cards, menus, itineraries, letters, reports, spreadsheets, databases, and graphs. Note: Creditable experience may include previous military experience, experience gained in the private sector, or experience gained in another government agency.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:
1. Knowledge of various office automation software programs, tool, and techniques to support office operations and produce a variety of documents such as invitations, place cards, menus, itineraries, letters, reports, spreadsheets, databases, and graphs.
2. Knowledge of security classifications, records management, appropriated funding, non-appropriated funding policies/procedures.
3. Knowledge of basic Office of Personnel Management, Defense Civilian Intelligence Personnel System, and Air Force civilian personnel practices as they relate to honorary awards, time and attendance, performance management, compensation and benefits, drug-testing, and civilian pay actions.
4. Knowledge of official military and government protocol functions and responsibilities to ensure proper recognition and treatment for ceremonies, events and visits, including sensitivity to world political situations, US and foreign military rank structure, political configuration, and orders of precedence.
5. Skill in the use of various office automation software programs, tool, and techniques to support office operations
and produce a variety of documents such as invitations, place cards, menus, itineraries, letters, reports, spreadsheets, databases, and graphs.
6. Ability to plan and organize management programs and functions of an organization, to include coordinating teams, logistical support, and action plans. Ability to gather, analyze, and present facts; develop guidance, policy, or tutorials; and communicate effectively both orally and in writing especially writing styles for military and civilian correspondence, directives, guides, performance records, promotion recommendations, awards and decorations
PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment.
