EXECUTIVE ASSISTANT TO THE CEO

KERAMIDA Inc. is a WBENC-Certified Woman-Owned environmental engineering and consulting firm that serves industries, businesses, cities, and governments worldwide. We provide comprehensive sustainability & climate, environmental, health & safety, remediation, and training services across multiple industries. As an Executive Assistant, you will provide executive assistance in a one-on-one working relationship. This role serves as the primary support to the CEO ensuring that KERAMIDA's goals are met, objectives are accomplished, and that operations run efficiently. The ideal candidate will have the ability to exercise good judgement in a variety of situations with excellent written and verbal communication, administrative, and organizational skills.

RESPONSIBILITIES

  • Serving as a point of contact for the CEO's office, maintaining professionalism and confidentiality.
  • Managing the CEO's calendar, making appointments, sending invitations and reminders, and efficiently prioritizing sensitive matters.
  • Coordinating travel arrangements and accommodations, including flights, hotel reservations, and transportation, for the CEO.
  • Drafting and editing emails, memos, and other communications for the CEO.
  • Anticipating the CEO's needs and providing proactive support to enhance productivity and efficiency.
  • Handling phone calls courteously and professionally, screening and directing inquiries appropriately.
  • Maintaining meticulous records, including sensitive and confidential documents, to ensure accessibility and confidentiality.
  • Assisting with special projects or initiatives assigned by the CEO.
  • All other duties as assigned by management.

QUALIFICATIONS

  • Bachelor’s degree preferred.
  • 3-5 years of experience as an executive assistant or similar role.
  • Excellent skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and aptitude for learning new software and systems.
  • Exceptional verbal and written communication skills.
  • Strong organizational abilities and attention to detail.
  • Ability to adapt and thrive in a dynamic and fast-paced environment.
  • Flexibility to handle changing priorities and deadlines.
  • Professional demeanor with a high degree of integrity and confidentiality.
