Reporting directly to the CFO, the Executive Assistant provides executive support in a one-on-one working relationship. They serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CFO.
The Executive Assistant is responsible for a broad variety of high-level administrative tasks for the Executive Team including composing and preparing correspondence that is sometimes confidential and compiling documents for meetings.
Essential Functions
· Support corporate records retention and maintenance. Organize and manage files, documents, and exhibits.
· Receive a copy of all complaints to state contractor’s boards and other state agencies. Work with branch management to craft responses and manage the resolution process.
· Maintain an accurate database of all pending or threatened litigation.
· Communicate and assist outside counsel with drafting legal documents and pleadings, including deposition notices, subpoenas, motions, certifications, contracts, briefs, and complaints.
· Provide summaries to executive team members regarding depositions, testimony, and interrogatories.
· Conduct investigations and document research.
· Organize and track files related to case documents and important transactions.
· Work with outside counsel by handling discovery requests and aligning internal resources to comply with requests.
· Work with insurance companies to ensure our claims are being managed quickly and efficiently while keeping costs down.
· Manage and track our SIR general liability plan and claims.
· Manage all state, county, and local licensing renewals. Contractor’s licenses and business licenses.
· Work with branch management in executing simple release agreements with customers.
· Help provide guidance to the executive team on what items need to be reviewed by outside counsel.
· Research, prioritize, and follow up on incoming issues and concerns addressed to the CFO, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
· Provide a bridge for smooth communication between the CFO’s office and internal departments and external stakeholders demonstrating leadership to maintain credibility, trust, and support with senior staff.
· Plan and execute events and meetings. Working with other C-Level team members to ensure the vision and goal of the events/meetings are met.
· Assist CFO on presentations for speaking engagements and projects that involve CFO’s guidance for the business.
· Assist CFO on real estate management and development projects.

Requirements

· 5 years of administrative assistant experience at an Executive level
· Time management and ability to meet deadlines
· Excellent verbal and written communication skills
· Strong organizational skills and ability to multitask
· Problem-solving and decision-making skills
· Ability to act as gatekeeper and escalate relevant information to executives as needed
· Ability to work effectively with minimal supervision
· Strong interpersonal skills
· Ability to treat confidential information with appropriate discretion
· Exceptional attention to detail
· Familiarity with Microsoft Office Suite
Preferred Skills and Qualifications
· Bachelor’s Degree
Physical Requirements
Prolonged periods of sitting at a desk and working on a computer. Prolonged periods of standing, bending, kneeling, and walking. Must be able to lift up to 15 pounds at a time. Ability to speak, hear, read, listen, communicate both verbally and written.
