Requirements
Contracts and Special Projects Manager, Auxiliary Business Services and Real Estate - Georgetown University
The Contracts and Special Projects Manager serves as a liaison between Auxiliary Business Services and Real Estate, the Georgetown community, and business partners on and off Georgetown's campuses. They assist with contract administration, management and operations, ensuring that the terms and conditions of the contracts are followed and met from both the institution side and the vendor's side. Contract management also requires database oversight and internal tracking using the Georgetown Management System.
The Contracts and Special Projects Manager also serves as the GOCard Office Coordinator, working with the UIS GOCard Team and assisting with the administration of student meal plans; and assisting students and the others in the GU community with financial transactions related to their GOCard accounts.
Reporting to the Director of Operations, the Contracts and Special Projects Manager has duties that include but are not limited to:
Contract Administration
Manages the internal contract management system and inputs all contracts for approval and signature.
Regularly reviews contracts to ensure that terms and conditions are being met by GU and by the vendors.
Develops a calendar of important contract dates and deadlines and creates alerts in the internal contract management system.
Supports contract operations and serves as a front-line liaison between vendors and GU.
Tracks equipment inventory and asset tracking for all food locations, hotel, print, mail etc.
Assists in connections between the parties as necessary when policies, programs, and/or people change.
GOCard Office
Manages student meal plans to include adjustments as necessary on students' accounts via StarRez and BlackBoard Transact.
Processes GOCard deposit/return requests, as necessary.
Collects, schedules and prepares regular deposits received from the GOCard VTS machines.
Serves as the liaison between GU and the Aramark Meal Plan Coordinator.
Marketing, Communications, and Promotions
Executes the marketing strategy with each vendor on campus and ensures that messaging is cohesive and within GU guidelines and visual identity standards.
Manages and coordinates special events with corporate sponsors and the GU community.
Oversees the Auxiliary Business Services and Real Estate website and social media platforms.
Coordinates articles and media coverage for trade publications, alumni magazine, DC papers and local publications with vendors and communications office.
Drives revenue for GU through marketing implementation.
Assumes key role in NSO, Move-In, Graduation, and Weeks of Welcome.
Manages distribution of in-kind donations to student groups per guidelines.
Operations and Customer Experience
Visits and walks through operations as needed to interact with customers and assess the overall success of the operation.
Supports mail services and managed print operations
Supports the department as the liaison for meetings related to campus events
Actively seeks feedback from individual students, committees, and student organizations, as well as from faculty, staff, and key stakeholders -- all toward looking at ways to improve the customer experience, drive satisfaction, and increase revenue.
Work Interactions
The Contracts and Special Projects Manager has daily interactions with the contracts, accounts payable and procurement departments; and interacts with faculty, staff, and vendors. They will also interact with students both individually and as part of groups, prospective students, parents, alumni, and general visitors.
Qualifications
Bachelor's degree in business, culinary arts, hospitality management or equivalent
At least 5 years of retail or customer service experience, management experience
3 years in engagement and outreach at an educational institution
Customer service focus with hospitality as a core interest, as well as orientation for detail and creative solutions
Ability to work as part of a team, as well as to prioritize and exercise flexibility during shifting priorities
Ability to make smart decisions quickly, to work under stress in a variety of situations, and to remain calm and professional at all times
Proficiency with Microsoft Office, Google Apps and social media platforms
Availability and willingness to work long and/or weekend hours during peak business period, during evening hours as events may require, and from home during university-designated inclement weather and/or closure
Preferred qualifications
Contract management and administration experience
Workday, Blackboard and StarRez systems experience
Work Mode: Hybrid 1 Day. Please note that work mode designations are regularly reviewed in order to meet the evolving needs of the University.
