Department Administrator (part-time), Steers Center for Global Real Estate - McDonough School of Business - Georgetown University
At Georgetown University's McDonough School of Business , our mission is to build global business knowledge and inspire ethical leaders to serve the common good.
The Department Administrator - in a part-time role - provides administrative and business support to the Director of MSB's Steers Center for Global Real Estate, and is responsible for financial reconciliation, mail and scheduling support, student needs and day-to-day operations of the Center - for example, assisting with events and seminars, travel/logistics, expense reimbursements, and maintaining schedule/calendar.
The Department Administrator reports directly to the Director of the Steers Center for Global Real Estate and interacts with the Marketing and Recruitment department, Office of Marketing and Communications, Academic Directors, MSB students and faculty at MSB; and members of the University MSB Staff; outside speakers, business professionals and alumni. Duties include but are not limited to:
Planning: Assisting in planning the logistics of events such as seminars, speaker series, and conferences; professionally interacting with VIPs, senior speakers in real estate, industry and academia; making minor website updates; and leading and executing all Steers Center operating procedures.
Administrative: Making travel arrangements, processing reimbursements, and scheduling meetings; answering phones, ordering supplies, maintaining files, copying, and mailing; maintaining Director's schedule and calendar; and providing service to the Steers Center student population regarding expense reimbursement, club related activities, and other administrative needs.
Technology: Assisting in the maintenance and updating the Center's webpage, Salesforce, Twitter and Facebook accounts; developing and maintaining databases as needed; and filling the function of thought leader within the Steers Center in the cited areas and making strategy recommendations regarding the manner in which the Center should interact these technological aspects over a long-term horizon
Financial: Completing financial forms and submitting for processing - e.g., employee reimbursement forms, expense authorization forms, and interdepartmental invoices.
Advancement: Interacts directly with the Office of Advancement and facilitates engagement of alumni, parents and friends of the Steers Center such that the Center engages their time, talent and treasure.
Qualifications
Bachelor's degree
2 to 4 years of relevant/professional experience, preferably in higher education
Webpage maintenance skills, database management skills, and basic design skills
Proficiency with Microsoft Office Suite - Word, Excel, PowerPoint, etc.
Ability to prioritize tasks, and to work responsibly and independently with little guidance
Comfortability leading diverse groups of constituents within the University in the execution of Steers Center business
Excellent written and oral communication skills
Strong motivation and organizational/time management ability, and detail orientation
