Job Overview
The Assistant Director for Administrative Services, a position within the Department of Human Resources, oversees the Administrative Service Center for University Services, and monitors and ensures service level expectations are met, that Administrative Service Center teams provide excellent customer service, and that all transactions comply with HCM policies and procedures. They also serve as the HCM business process Subject Matter Expert (SME) for University Services.
The Assistant Director for Administrative Services provides overall leadership and management of this shared service organization, delivering HCM services to all University Services departments and providing continued development and implementation of a shared services model with a customer service focus. They manage the day-to-day operations while providing visible and effective leadership to department staff; and build partnerships and escalate procedures with HR Partners, Compensation & Classification, Payroll, Tax, Benefits, and other internal stakeholders.
It is critical the Assistant Director creates workflows and escalation procedures for the service center to ensure internal stakeholder involvement in and successful solutions to HCM cases; and partners with other HR stakeholders on the implementation of appropriate business processes and internal controls, develops collaborative relationships with service center stakeholders and university liaisons, and promotes a positive and trustworthy reputation for the central service center. They identify improvements to systems and processes, recognize efficiencies and suggest business process improvements to the HR leadership.
The Assistant Director manages escalated customer concerns and expectations, and develops and partners with the Executive Director of HCM to implement strategies and plans for growth, service enhancements, and sustained continuous improvements for the service center. They ensure all business processes are documented and executed appropriately by the Service Center team, contain appropriate controls, and incorporate best practices; and partner with the Director of Payroll to ensure that all employment within the campus of responsibility complies with state and local employment laws and regulations and adheres to Georgetown's policies as a multistate employer. As well, they monitor and maintain established Service Center metrics, goals, and overall customer service levels.
Work Interactions
The Assistant Director for Administrative Services is a senior member of the HCM Department team of the Department of Human Resources, reporting directly to the Executive Director of HCM; and works regularly with University Services leaders and other senior administrators in University Services on issues relating to Staff/AAP, Faculty and Student position requests; all HCM business processes; and on all tasks assigned to the Administrative Service Center.
The Assistant Director collaborates with other Service Center leads to identify solutions to campus challenges, to improve policies/procedures, and provide advice to HR leadership. They are the HCM process SME for University Services and liaise with the HR Partners, Payroll, Tax, HRIS Department and the GMS Core Team on all matters related to the HCM module in the GMS; and they effectively communicate with and manage the expectations of all stakeholders.
Supervisory and Reporting Relationships
Reporting to the Executive Director of HCM, the Assistant Director of Administrative Services supervises supervises as many as five Administrative Service Center team members.
Qualifications
Bachelor's degree - Master's preferred
7 years of professional experience in human resources administration, financial analysis or and business operations - including 5 years supervisory experience with the ability to manage, coach, and advise employees, and effectively develop staff
Experience with Human Resources Information Systems (HRIS), and Human Capital Management (HCM)
Strong interpersonal communication skills, with the ability to build and leverage relationships across an organization to drive change and support the human resources department achieve stated goals
Effective judgement, tact, diplomacy and discretion in all matters
Excellent verbal and written communication skills
Ability to maintain strict confidentiality
Outstanding ability to track key metrics, and analyze and report on relevant HR performance indicators
Ability to recommend and promote strategies to address issues identified for improvement and manage multiple priorities
Strong problem solving skills with the ability to facilitate problems and approach issues from a solution-oriented basis
