Fashion Institute of Technology is Hiring a Part-Time Office Associate, Office of International Programs Near New York, NY

About Fashion Institute of Technology:

The Fashion Institute of Technology (FIT), part of the State University of New York and an internationally renowned college of art, design, business and technology with a strong emphasis on liberal arts, invites nominations and applications for an Office Associate.


Job Description:

The Office Associate (part-time) serves as the liaison to the academic departments and administrative offices at FIT and supports the Dean, Assistant Dean, and staff in the Office of International Programs to ensure the successful operation of the department. The Associate reports to the Assistant Manager and also coordinates daily operations, including scheduling and calendar management for the department, budget and accounting tasks, and office supply and equipment needs.

Responsibilities & Essential Functions:

  • Plan and coordinate departmental events on or off campus, such as Pre-departure Sessions, Student Re-Entry Programs, Study Abroad Fair, as well as office representation in other FIT events (Admitted Students Day, Parent's Day, etc.)
  • Manage the OIP calendar, including scheduling for all information sessions, inbound and pre-departure orientations and other special events.
  • Work with Facilities Rental office to process the scheduling of events, space and required services (Catering, Media Services, Security, etc.) through 25Live.
  • Responsible for managing OIP social media presence (Instagram, Tiktok etc.) and OIP Study Abroad website, including update and review of existing content for the Study Abroad programs (events, curricula, budgets, academic calendars).
  • Support the coordinators in managing program pages for Study Abroad in the (Horizons) study abroad application system/database.
  • Setup and administer photo contests for students in short-term programs, semester programs & FIT in Italy programs.
  • Support the Assistant Coordinators in the delivery of faculty-led short term study abroad programs. This includes publishing promotional materials to market the programs. through information sessions and weekly email marketing, and organizing logistics pre-departure orientation sessions for students.
  • Support the coordinators in the development of content for all Study Abroad visual materials and handbooks, and coordinate printing of all materials with the FIT Print Center.
  • Coordinate and direct phone and email inquiries to the appropriate staff.
  • Supervise student aides, including assigning daily tasks and giving instruction and training when applicable to complete special projects.
  • Maintain appropriate ability in the application of all necessary computer software and college applications such as Banner, Finance Enterprise, etc., and the Google suite of applications.
  • Order departmental equipment and supplies, and input purchase requests through the FIT purchasing system [Finance Enterprise].
  • Provide support and information to incoming and outgoing Study Abroad students, as well as walk-in visitors and guests requesting information regarding Study Abroad.

Requirements:

Minimum Qualifications:

  • Bachelor's degree required.
  • 3 years of appropriate business experience.

Knowledge, Skills, & Abilities:

  • Demonstrate interest in the field of international education and in working with students.
  • Experience with methods for marketing, recruiting and planning programs, preferably study abroad programs.
  • Strong interpersonal, public speaking, writing and technical skills.
  • Experience working cooperatively in a team as well as the ability to work independently in a very busy office environment.
  • Excellent time management skills and ability to meet multiple deadlines simultaneously.
  • Ability to assess and resolve situations and problems independently.


Additional Information:

Salary

Salary Range: $34.81- $37.30 per hour

The dictates the compensation, benefits, and conditions of employment. Hiring Rate: $34.81- $37.30 per hour with step increments per Salary Schedule 91, after 18 months of service and annually thereafter.

Work Schedule

Days/Hours: M-F, 20 hours per week, in person; work schedule subject to change based on needs of the department.
