The Accounts Payable Spec supports the accounting operations of the business by processing invoices, making payments and resolving queries.

• Reconcile and process invoices for payment. Match invoices to purchase orders, packing slips, and other supporting documentation and verify that proper authorization exists for payment. Check extensions and all relevant information to ensure accuracy of invoices. Communicate with appropriate parties to resolve discrepancies.
• Assign account codes to invoice packages and present to an authorized reviewer for approval. Enter approved invoices in accounting system for payment. Generate register and check against source documents to verify accuracy.
• Maintain and update open purchase order log indicating purchase commitments. Review log in detail on a regular basis to ensure accuracy and completeness.
• Review accounts payable aging report on a regular basis to identify problem areas. Research and resolve all issues. Update and print accounts payable analysis of daily transactions and communicate to management and other parties, as required.
• Obtain W–9 forms from vendors and maintain information to enable preparation of Form 1099. Assist with year–end processing.
• Issue sales tax resale certificates to vendors as appropriate and maintain records of all forms issued. Identify invoices subject to use tax where sales tax is not charged. Communicate such findings to accounting management for inclusion on monthly sales tax returns.
• Maintain permanent vendor files and annual paid invoice files. Establish new files for vendor additions as needed.
• Communicate with vendors as necessary to resolve issues. Verify and reconcile accounts as needed.
• Perform any range of special projects associated with the tracking, recording, compilation, or reconciliation of financial information, as directed.
• Back–up Corporate Receptionist by responding to telephone calls, determine caller’s needs, route calls, initiate pages, take and relay messages, and greet and announce visitors.
• All other duties as assigned by management.

Base Salary Range: $17.95/hour - $26.61/hour. This represents the low and high end of the company's base salary range for this position. Actual base salary range may vary based on various factors, including but not limited to experience.
