PROJECT MANAGER JOB DESCRIPTION

The job has four areas of involvement.

I. OPENING THE PROJECT

II. SUBMITTAL/SHOP DRAWING/BUYOUT

III. PRODUCTION/JOB SITE AND OFFICE

IV. PROJECT CLOSURE

The following descriptions are most of the elements needed to complete projects using the Wildcat/El Paso Glass philosophy.

I. OPENING THE PROJECT

Receive bid package from sales. This will occur upon the receipt of letter of intent of contract. Review specifications and highlight all data important to start the SUBMITTAL phase, namely:

1. Finish color

2. Systems descriptions

3. Fastener Types

4. Submittal requirements

5. Special unusual requirements such as special wrappings, certified test requirements, SS screws, special protective coatings, etc.

Do a take-off of the project in order to compare the sales take-off for errors and omissions. This area is most important to find cost savings and alternative approaches especially in the way labor, both fabbing and erection were quoted. Other items are:

1. Special considerations give or required the contractor at the time of bid.

2. Storage, hoisting, etc.

3. Total understanding of the CPM.

At this point you meet with the contractor to establish project cooperation, namely:

1. Storage requirements

2. Safety consideration

3. CPM schedule

4. Installations logistics

5. Submittal requirements

6. Reporting/Invoicing/Monthly requirements

II. SUBMITTAL/SHOP DRAWING/BUYOUT

The important thing in this phase is to start the paper trail that will back up all activities throughout the project. This is the foundation of good management and all mistakes seem to flow from something overlooked at this stage and the opening phase. Some important items are:

1. Certification of insurance

2. Bond requirements if necessary

3. Do all payroll set ups such as certified payrolls, daily sign off, etc.

4. Start shop drawings

5. Do comparative bids with alternate suppliers.

6. Get all submittals processed and approved before ordering. Make sure this goes with the agreed CPM. This is usually a tricky area.

7. Issue all purchase orders to supplier and start the log for follow up to the supplier and contractor. Contractors appreciate this timely update as things progress.

A good foundation at this point means a successful project.

III. PRODUCTION/JOB SITE AND OFFICE

Now the fun begins as the project starts. All products are in place to be installed. The application of labor takes on an exciting phase as you , as the coach, call all the plays and your team executes them with great skill as you guide them through the division of work that has been planned by all the hard work put forth in phase one and two above.

In this stage most of the work is performed in conjunction with a lead glazier who acts as project installer. He does the daily work tasks as you set them forth. He is an implementer and only makes decisions as to the best way to install what you have scheduled. The workmen report to him and take orders from him.

Some of the things you do for your lead man are namely:

1. Set your CPM to meet all estimating budgets.

2. Set up delivery of materials, file freight claims, and reorder all shortages and damaged materials.

3. Handle all change orders, back charges to the contractor, and all items that require the job to proceed without delay.

4. Run safety meetings and give reports as required.

5. Set up quality control procedures with form letters governing protection of materials, installations techniques, sign off by contractor accepting the work.

6. Do monthly invoicing per our method, to include percent completed, materials stored in our warehouse and at the job site. Monitor the receipt of the money on the date agreed. Issue stop work orders when needed because of lack of payments. This is also a delicate area so as not to eliminate us from future work.

7. In checking with the general contractor on the monthly billing you also have to do all the work necessary to get the final invoice submitted to include all lien waivers, tax clearances, union releases, etc. so not to delay the last phase of the job descriptions.

IV. PROJECT CLOSURE

The final phase of a project is to finish all punch list items. Make sure the final billings are correct and that the job is not in trouble. Many times we are not at fault but must file liens and give notices to perfect our payment. You are the closest to all problems and must bring them to managements attention. All final decisions as to filing of liens, notices, and anything threatening are the decision of the General Manager but he depends on you to inform him of potential trouble. Keeping him abreast of problems is your job.

Cleaning up loose ends takes great skill and if a good foundation has taken place in the beginning and the plan has been followed, then the end is easy. Going back and trying to recreate history is the hardest.

The best part is when you give the project close-out to the General Manager showing your great skill in performing all the tasks above and receiving your incentive pay.
