Counseling In Schools is Hiring an Administrative Assistant to the Chief Program Officer Near New York, NY

Counseling in Schools, Inc. (CIS) is a dynamic school-based, non-profit, community-based organization dedicated to supporting the emotional and social well-being of New York City school communities. As the Assistant to the Chief Program Officer, you will play an essential role in providing executive-level support to the Chief Program Officer (CPO) of Training, Expansion, and Program Development.

 

Responsibilities:

  • Organize and maintain complex calendars; prioritize and coordinate a dynamic and high-volume schedule for The CPO.
  • Organize, prioritize, and appropriately handle time-sensitive, confidential information.
  • Assist in planning off-sites and team events, including selecting and booking event spaces, coordinating attendees, setting up agendas, and registering guests for supported leaders.
  • Purchase and track the distribution of items needed in schools.
  • Provide backup support for CPO and team members during their planned time off.
  • Contribute to projects as needed, including but not limited to large on-site and offsite events.
  • Track and reconcile monthly credit card statements and complete and submit expense reports promptly.
  • Enhance executive efficiency by developing systems and processes to increase organization and streamline workstreams
  • Ensure consistent and efficient interaction with colleagues across the organization; demonstrate poise and tact under pressure and handle matters with sound judgment.
  • Provide special project leadership and support. 
  • Conduct preliminary research on a variety of topics; draft materials as needed
  • Perform any other relevant duties as assigned by the CPO. 

What You Bring To The Role

 
  • Ability to effectively manage up: Senior leaders both internally and externally trust you to deliver completely
  • Proficient in utilizing the Google suite of products, including calendars, docs, sheets, slides, MS Suite, Canva, and knowledge of modern Program system platforms.
  • Effective handling of multiple tasks and prioritization in a fast-paced environment.
  • Strong project management skills with the ability to manage multiple projects and the desire to bring structure to undefined procedure
  • Ability to maintain confidentiality and exercise discretion
  • Willingness to learn new skills and technologies
  • Ability to remain positive in high-pressure situations
  • Demonstrates critical thinking, communication, and relationship-building skills
  • Bachelor’s degree in a related field or one year or more of professional work history; six or more total years of post-secondary professional work history in place of Bachelor’s degree considered.
  • One or more years of experience in providing high-level administrative support.
  • Strong verbal and written English communication skills. 
  • Takes initiative to learn and the ability to work independently. 
  • An understanding of the complexities surrounding collaboration in an NYC community-based organization
  • Highly organized, solution-focused, problem solver, and self-motivated with proven ability to successfully multitask
  • Collaborative mindset and strong interpersonal skills
 

Reports to: 

Chief Program Officer, Counseling In Schools

  • Full-time position 
  • The role will be mobile and must be able to travel within NYC and the 5 boroughs.
