About the Master’s in Liberal Studies:

One of the largest and oldest Master’s programs at the Graduate Center, the MA Program in Liberal Studies (MALS) is a hub for interdisciplinary research, teaching, learning, and scholarship at the CUNY Graduate Center. The MA in Liberal Studies is a 30 creditdegree program where students take a Seminar in Interdisciplinary Studies, two concentration-specific MALS core courses (6 credits), and 18 credits from elective courses from courses in MALS and across the GC. Students complete their degree by writing a thesis or creating a capstone. A portion of MALS students go on to pursue doctoral degrees, while others use their degree to advance their career or for their personal enrichment. MALS faculty are drawn from the Graduate Center and across the CUNY system.

Reporting to the Executive Officer of the M.A. in Liberal Studies (MALS), the MALS Assistant Program Officer (APO) will assist the program with all aspects of departmental administration including personnel actions, budgeting, purchasing, scheduling courses and events, and serving as a liaison to other administrative offices at the Graduate Center. In addition, the successful candidate will take an active role in supporting the space and technology related to the programs and working with a team that typically includes a Deputy Executive Officer, a College Assistant, and two or three graduate students.

With an appointment in the Higher Education Officer (HEO) series, as an Assistant to the Higher Education Officer, this is an opportunity to learn more about academic administration, faculty and program development, the scholarship of teaching and learning, educational technology, the CUNY context, and much more. The successful candidate will join a tight-knit community of educators committed to supporting each other and the missions of the GC and CUNY.

All full-time and part-time CUNY staff are expected to work in-person at their campus office 70% of their work time. For full-time staff, this is equivalent to 7 out of 10 days of in-person work in a two-week period (e.g., 7 days in-person, 3 days remote). This hybrid work schedule is subject to change.

In addition to the CUNY Title Overview, the MALS Assistant Program Officer's responsibilities will include, but are not limited to:

  • Serves as an Assistant to the Executive Officer (EO) and Deputy Executive Officer (DEO)

  • Supports the MALS EO and DEO in scheduling and staffing all courses for the department

  • Supports the MALS EO and DEO in scheduling MALS events, projects, and searches, as well as other key duties such as overseeing registration, transfer credits, individualized studies applications, organizing rooms for events and faculty

  • Supervises the MALS college assistant and work-study students and works with the MALS EO and DEO on tasks

  • Supports MALS Advising Fellows and facilitates their payroll, training, access to CUNYFirst

  • Coordinates, organizes, and performs daily administrative duties (such as disseminating information via email and the listservs)

  • Serves as a liaison for students, faculty, and staff in the MALS program

  • Communicates with other Graduate Center Offices

  • Coordinates procurement and budget processes (including payments for vendor services and maintains financial records; prepares travelreimbursements; and handles other related issues with the budget office)

  • Supports recruitment and on-boarding of staff and instructors

  • Prepares for, attends and takes minutes at all scheduled faculty and staff meetings

  • Submits Application of M.A. Degree and Certification forms to the Registrar and assists MA students in completing their degrees

  • Maintains the web and digital presence for MALS

  • Supports the MALS shared commitment to diversity and inclusion

  • Supports the MALS shared commitment to diversity and inclusion

  • Provides support to the Provost Office with Visiting Research Scholar requests and approvals as workload in MALS allows

  • Performs other duties as assigned which are reasonably within the scope of this job classification.

QUALIFICATIONS

Bachelor's Degree required.

Preferred Qualifications:

  • Two years of administrative experience

  • Experience working in educational settings

  • Experience in higher education administration

  • Experience with the use of web-based student information data management systems such as Peoplesoft/CUNYfirst

  • Strong computer skills, including experience with databases and websites (WordPress), and Excel

  • Experience with web/social media or a willingness to learn

  • Superior interpersonal skills and effective oral and written communications skills

  • Ability to work with others for the good of the institution.

Candidates must be legally authorized to work in the United States on a full-time basis. Sponsorship will not be offered for this position.

Provides basic operational and analytical support related to a College's specialized academic program.

  • Supports the directors and managers with orientation preparation, student advisement regarding program requirements, and providing basic information about financial aid and registration

  • Manages office records including faculty files; prepares reports and surveys; collects and maintains statistical data on program activities

  • Serves as liaison to various College offices to provide service delivery and appropriate referrals to students

  • Collects and reviews syllabi to ensure compliance with standards

  • Serves as resource person for students and faculty regarding program policies and procedures

  • May supervise office operations and/or monitor department budget

  • Performs related duties as assigned.
