About this role:
Wells Fargo is seeking a highly organized and proactive Senior Executive Specialist to provide executive and office management support to the Chief Administrative Officer.
We are looking for a sharp, experienced administrative professional who enjoys solving complex problems and is motivated by flawless execution. This role requires an independent self-starter who serves as an ambassador to the executive, demonstrates sound judgment, and can shift gears at a moment’s notice. The ideal candidate is someone who naturally operates with a customer service mindset enabling them to partner with a broad range of personalities and adapt to unique traits and working styles. This candidate will work closely with senior leaders across the enterprise, their leadership teams, other Wells Fargo business groups, and administrative peers.
In this role, you will:
Provide a high level of professional support which includes a balance of senior executive level administrative work, as well, as ongoing ad hoc project/initiatives work such as planning meetings, tracking deliverables, and running routine reports.
Perform heavy calendaring, complex travel planning, extensive document creation/editing and preparing expense report submissions
Manage meeting logistics and preparation, managing invitations and facilities and providing detailed data, information and resources to leader and participants
Handle all personnel and confidential company materials with sensitivity and discretion
May interact with shareholders, regulatory agents/representatives, media representatives etc.
Responsible for drafting complex and/or confidential correspondence
Act as an information source on group and company policies
Develop excellent relationships with peer Executive Assistants and coordinate team admins across functions
Support the distribution of internal communications and manage related distribution lists
Reviewing correspondence, reports, memos, and presentations, including responsibility for proofreading, editing, and quality control. Some composition of correspondence will be required as well.
Receive direction from leaders and exercise independent judgment while developing the knowledge to understand function, policies, procedures, and compliance requirements
Executive Support Responsibilities:
Ensure executive’s time is aligned with their priorities and conflicts are resolved through understanding of the core business, leveraging prioritization strategies, and partnering with other admins
Increase bandwidth and productivity by anticipating needs and taking ownership of planning, executing, and delegating activities which create an extra layer of accountability
Accountable for planning, coordination, and oversight of domestic and international travel. Acute attention to detail, continuously checking and rechecking all reservations and logistics for accuracy
Process travel and expenses using Concur on a timely basis and in compliance with enterprise policies and procedures. May also be responsible for reviewing expense reports for the executive’s direct reports
Prepare meeting agendas, materials, presentations and coordinate reservations for meeting space, equipment needs, and catering
Act as proxy for the executive on systems where proxies are allowed. May manage the executive’s email inbox
Establish a strong presence as a key/go-to resource for the site by cultivating relationships with various departments including Facilities, IT and other site admins
Assist in the planning and execution of site and team engagements or events ensuring they remain within budget constraints and comply with established guidelines
Register guests with security, arrange for visitor/temporary badge access, reserve workspace, and act as primary point of contact for visitors including greeting and escorting them throughout the facility
Own and manage the new hire onboarding such as processing I-9 paperwork, welcome letters, obtaining equipment, and coordinating site tours
Required Qualifications:
4 years of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Desired Qualifications:
Familiar with executive support for global corporate & enterprise services including: corporate real estate, business resiliency, supply chain, security, enterprise change management, and data management & insights
Previous experience in a large banking or financial services environment
Knowledge of Concur or similar expense management systems
Proficiency with Office 365 Suite (Word, PowerPoint, Excel, Outlook), Workday and a high aptitude for learning new software and systems
Experience processing and managing vendor invoices
Proficiency with meeting platform systems Microsoft Teams and Zoom
Ability to complete work within tight deadlines while maintaining excellent attention to detail
A big-picture mindset, not for the sake of completing tasks, but devising long-term high-quality solutions
Ability to maintain confidentiality of company information
Effective and concise communication and interpersonal skills both in-person and virtually
Proven ability to make independent decisions and pivot between responsibilities
Position is not VISA eligible.
Position may be removed early due to candidate volume.
Pay Range for New York City: $100,800 - $179,200
May be considered for discretionary bonus, Restricted Share Rights, or other long-term incentive awards.
