Confidential is Hiring an Office Assistant/Receptionist Near Houston, TX

Small firm in Downtown Houston seeking competent contract Office Assistant to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.

Responsibilities

  • Greet guests in a welcoming manner
  • Organize office and assist associates in ways that optimize procedures
  • Answer the phone in a professional, pleasant manner and route calls to staff
  • Provide clerical support for staff such as e-filing, physical filing, photocopying, transcribing and scanning
  • Sort and distribute communications in a timely manner
  • Create and update records ensuring accuracy and validity of information
  • Monitor level of supplies and handle shortages
  • Resolve office-related malfunctions and respond to requests or issues
  • Process account payments
  • Maintain company calendar which includes calendaring deadlines as well as scheduling depositions, hearings, mediations and potential new client appointments
  • Maintain trusting relationships with suppliers, clients and colleagues
  • Perform receptionist duties
  • Client communications and assisting with intake process

Skills

  • Proven experience as an office assistant, receptionist, or in another relevant administrative role
  • Working knowledge of relevant office equipment/software
  • Thorough understanding of office management procedures
  • Excellent organizational and time management skills
  • Analytical abilities and aptitude in problem-solving
  • Excellent written and verbal communication skills
  • Proficiency in MS Office
  • High Attention to Detail a must
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Multitasking and time-management skills, with the ability to prioritize tasks
