Position Overview

The Administrative Manager (AM) will report to the Head of School (HoS) and serve as a member of the School’s Leadership Team. The AM will function as administrative and strategic support to the HoS. The AM will oversee and coordinate the HoS’ initiatives regarding strategic planning, institutional data, advancement, the Board of Trustees, and the Leadership Team.

Primary Responsibilities

  • Provides executive assistance to the Head of School (calendar, communications, travel coordination, strategic initiatives dashboard, institutional data, research, reports, meeting minutes, and presentations).
  • Works closely with the Leadership Team, Advancement Office, board members, key stakeholders, and the HoS to plan, oversee, and coordinate activities, initiatives, and events requiring the Head’s involvement.
  • Works closely with the Head of School and the Board of Trustees, especially in pursuit of Three-year Strategic Plan.
  • Collaborate with the Leadership Team to align program initiatives with strategic objectives.
  • Supports the HoS with key strategic initiatives in the Advancement Office, especially those related to alum relations, prospective donor meetings, events, donor stewardship, and communications.
  • Attends and prepares for all board meetings and faculty meetings.

Specific Responsibilities

Strategic Initiatives

  • Update and monitor strategic initiatives dashboard
  • Collaborate with the Leadership Team to develop and track metrics and results
  • Partner with advancement staff to communicate new initiatives, results, and updates on our Strategic Plan
  • Help develop and coordinate yearly strategic goals and initiatives

Leadership Team

  • Serve as a member of the Leadership Team, supporting the HoS with agendas, planning, meeting planning and preparation, and minutes
  • Coordinates project management for major school events and processes, especially in collaboration with the Assistant Head of School and Director of Teaching and Learning.
  • Attends school-wide faculty and staff meetings supporting the HoS and Leadership Team with agendas, planning, and minutes
  • Support supervision of lunch, dismissal, and recess.

Institutional Data

  • Review and audit academic and attendance data
  • Collaborate with the Leadership Team to identify key measures of school health and performance
  • Create dashboards or other forms of reporting to track progress
  • Coordinate data gathering across school departments and update dashboards and tables

Administrative and Strategic Support to the Head of School

  • Acts as an advisor to the Head of School on project management, helping to ensure that the HoS stays on schedule and that their time is focused, protected, and productive.
  • Handle phone calls and inquiries on behalf of the Head of School.
  • Review the Head of School’s projects and remind them of upcoming tasks or deadlines.
  • Works closely with the Director of Advancement and the HoS to plan, oversee, and coordinate activities, initiatives, and events requiring the Head’s involvement.
  • Provide research to the Head of School on matters relating to strategic initiatives, advancement, and institutional data for decision-making purposes.
  • Assist with drafting and sending of school communications to families, students, and faculty.
  • Support the Head of School during meetings, take notes, and follow up on action items or decisions made.
  • Attend all board, leadership, and faculty meetings, including any subcommittee meetings.

Minimum Qualifications

  • Demonstrated background in administrative and project management required
  • Knowledge and experience in leading cross-functional teams and leadership support
  • The ability to serve as a thought partner, problem solver, and creative thinker
  • A relationship builder who enjoys engaging with a variety of constituencies (including students and families) and is capable of earning the respect and trust of the Head of School, faculty, administration, and the Board of Trustees
  • Excellent oral and written communication
  • Entry-level skills in collecting school data and organizing its presentation
  • Technology skills in GSuite, Excel, and Word, as well as project management software similar to Asana, Monday, and/or Slack.
  • The ability to work effectively with all levels of a racially, economically, and culturally diverse independent school, ultimately serving as a role model to promote a positive and productive climate
  • Commitment to engaging with diversity, equity, inclusion, and justice work
  • Bachelor’s degree preferred;
  • A minimum of 3-5 years full-time of administrative leadership and/or executive assistance in schools or not-for-profit organizations

Job Type: Full-time

Pay: $80,000.00 - $95,000.00 per year
