1199SEIU Benefit and Pension Funds is Hiring an Administrative Coordinator Near New York, NY

Responsibilities

  • Provide professional and administrative support to the Director and the Assistant Directors of Provider Relations
  • Manage calendars. Coordinate with multiple internal departments and external personnels to secure in person and virtual meetings and conferences, as directed..
  • Prepare meeting agendas and compile documents in advance.
  • Vet and address calls, resolve complaints and respond to inquiries on the telephone, in person, and in writing; forward to appropriate parties to ensure inquiries are resolved in a timely manner. Track and report on inquiries received to ensure resolution.
  • Research QNXT, Cactus and other systems as appropriate to address inquiries.
  • Generate, prepare, and initiate correspondence and reports using Excel, Word, or other Microsoft applications.
  • Assist with budget preparation and submission. Distribute reports and time sensitive materials on projects and due dates to Provider Relations leadership team
  • Secure and distribute time sensitive documents and reports to providers and hospitals as directed.
  • Create slides and charts for presentation using Power Point and Visio; ensure presentations are user friendly, professional and data is displayed accurately
  • Monitor and follow up on production and executive summary reports to ensure timely submission.
  • Maintain staff attendance records, vacation requests for review and approval, and process timesheets
  • Order office supplies and submit departmental expenses and invoices (i.e. staff training, staff travel, conferences/webinars, software licenses, etc) through Finance System (Oracle) timely.
  • Document, track, and report on inquiries, appeals, escalated issues, and project plans, including its progress
  • Perform additional duties and projects as assigned by management.

Qualifications

  • High School Diploma or GED required; Bachelor’s degree preferred
  • Minimum four (4) years Administrative Assistant or Coordinator experience providing support to management level required; and two (2) years of work experience in a health plan/health related organization preferred
  • Intermediate skill level in Microsoft Office 365 applications including SharePoint, PowerPoint, Teams, Word and Excel required - ablility to create reports, formulas and maintain statistical data required; knowledge of other Web Based Systems (ADP, QNXT, Oracle) preferred
  • Excellent interpersonal and communication skills both oral and written
  • Must have high ethical standards and high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated integrity, honesty, poise, tact, and diplomacy.
  • Organizational skills with demonstrated ability to juggle multiple competing tasks and demands, establish priorities and follow through on assignments; Excellent attention to detail a must
  • Must be able to interact and communicate with individuals at all levels of the organization in a professional manner
  • Ability to work well under pressure to meet deadlines, multi-task, make sound judgments, and prioritize work assignments
  • Must be able to interact and communicate with individuals at all levels of the organization in a professional manner
