Position Summary 

Greenwich House, a 120-year-old Settlement House in the West Village of Manhattan, is seeking an energetic and mission-driven individual to be the Administrative Coordinator of the Greenwich House Youth Community Center (“YCC”). This full-time role will be responsible for the overall administrative responsibilities associated with the operation of afterschool, summer camp, holiday camp, sports leagues, and one time events.

Primary Responsibilities:

  • Plan, organize and direct registration services to facilitate and enhance enrollment in all programs, activities and/or events for grades K-8, 
  • Manage the payment for services by constituents.
  • Responsible for managing the process for scholarships and discounts coordinating responses after decisions are made by YCC Director.
  • Manage and maintain the YCC database for enrollment and payment.
  • Manage and maintain document repositories on the server.
  • Produce all reports for YCC leadership. 
  • Direct and participate in the compilation and evaluation of enrollment and attendance data for assigned programs.
  • Actively communicate and report in a timely manner to YCC Director related to progress, success, needs and challenges of ongoing operations and expansion.
  • Ensure all program compliance, including but not limited to, registration, staff documentation and clearances, ratios, attendance tracking, IDs, and building permits.
  • Manage all vendor contracts, ordering and inventory.

Secondary Responsibilities:

  • Provide a safe, healthy, and diverse space and community for students in the spirit of Greenwich House’s mission.
  • Develop and implement in the onboarding and orientation of staff.
  • Under the direction of the YCC Director coordinate with GH central teams to manage communications, social media and website as needed.
  • Assist in providing ongoing professional development for staff including support for monthly staff meetings. 
  • Oversee the registration, invoicing, and vendor payments related to YCC programs and activities.
  • Ability to step in and lead youth activities when needed. 
  • Assist in tasks related to adherence to all Department of Health regulations and annual permit renewals.
  • Process timesheets and maintain orderly payroll data. 

Qualifications:

  • 3 years of relevant experience.
  • Ability to think and act on the move and adapt plans and approaches as necessary to meet needs and goals.
  • Must be a self-starter, working well without close supervision.
  • Ability to establish and maintain effective working relationships with program staff and internal and external partners.
  • Proven record achieving goals beyond minimal levels of performance.
  • Excellent communication (oral and written) and interpersonal skills with proven ability to interact with clients/customers (youth and adults), in person and over the phone, applying tact and discretion, support and direction, as situations demand.
  • Possess excellent computer skills 
  • Committed to maintaining standards of ethics, conduct and organization policies in job related activities.
