Responsibilities:
- Provide administrative support to the office staff
- Assist with project coordination and document preparation
- Perform general clerical duties such as filing, scanning, and correspondence via phone calls and emails.
- Manage and update office records and database.
- Schedule appointments and maintain calendars
- Coordinate travel arrangements and event planning, such as; hotel stays, rental cars, catering, etc.
- Maintain office supplies and equipment inventory
- Implement and maintain general office cleanliness and organization.
Qualifications:
- Strong computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher)
- Familiarity with QuickBooks Online and Google Suite (Docs, Sheets, Drive) is a plus
- Familiar with basic accounting principles/practices.
- Organizational and time management skills
- Attention to detail and accuracy in data entry and document preparation
- Strong verbal and written communication skills
- Ability to prioritize tasks and work independently with minimal supervision
- Previous experience in an administrative role is preferred
- Experience and/or knowledge of non-profits, unions, and the labor movement is a plus
- Creative, assist the team with brain-storming and implementing best practices
As an Administrative Assistant with CBTU, you will play a crucial role in supporting the daily operation of our office as well as the preparation of events/fundraisers. You will be responsible for various administrative tasks and maintaining timely and professional correspondence within the office and between other division offices. This position requires strong organizational skills, attention to detail, and the ability to prioritize and follow through with all tasks. We are looking for a reliable team player who can also acknowledge limitations and delegate responsibilities when necessary. This position has the potential to graduate into a full-time office management position for the right individual.
