Reporting to the Onsite Chief Accountant and to the Corporate Human Ressources Director for the human ressources and payroll functions, the Administrative Assistant is responsible for managing the accounts receivable, processing purchase orders, guiding new team members through onboarding processes, and follow HR topics such as recruitment, training and employee relations. This role embodies our commitment to excellence in guest service and operational efficiency. With a focus on collaboration and attention to detail, the Administrative Assistant contributes to the smooth functioning of our establishment, enhancing the guest and employee’s experience at every turn.

Responsibilities:

  • Oversee the accounts receivable function, ensuring timely and accurate invoicing for services rendered in the hospitality industry.
  • Streamline the onboarding process for new recruits and serve as the primary internal liaison for employee inquiries regarding HR and Payroll matters.
  • Following up and coordinate the Training plan with the guidance of the corporate HR team.
  • Report employee relation issues to the Corporate HR Director to confirm which action should be taken.
  • Manage purchase orders (POs) for supplies and services required for hotel operations, verifying adherence to budgetary constraints and quality standards.
  • Liaise with suppliers and internal departments to resolve any discrepancies in invoicing or orders, maintaining positive relationships to ensure seamless procurement processes.
  • Liaise with internal departments and the corporate HR team for recruitment needs such as job posting.
  • Optimize collections and minimize outstanding accounts receivable balances, contributing to improved cash flow management.
  • Generate comprehensive reports on accounts receivable status, offering insights and recommendations to enhance financial performance within the hospitality sector.
  • Collaborate with the accounting team to streamline month-end and year-end closing processes, adhering to industry-specific regulations and standards.
  • Assist the Chief accountant with the in-house payroll process with our external payroll team.
  • Maintain meticulous records and documentation for all accounts receivable transactions, adhering to industry-specific compliance requirements.
  • Provide support and guidance to the hotel staff regarding accounts receivable, HR and payroll policies and procedures, fostering a culture of accountability and responsibility.

Qualifications:

  • Proficiency in hospitality-specific accounting software and Microsoft Office Suite.
  • Exceptional attention to detail and accuracy in data management, with a focus on maintaining high standards of customer service.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively across departments and with external stakeholders.
  • Proven ability to prioritize tasks and meet deadlines in a dynamic, fast-paced hospitality environment.
  • Ability to work autonomously and as part of a team, demonstrating adaptability and resilience in the face of challenges within the hospitality industry.
  • Integrity and respecting confidentiality of sensitive information.
  • Bachelor's degree in Accounting, Finance, Hospitality Management, Human Resources, or in any other related field, is an asset.
  • Previous experience in accounts receivable or financial roles within the hospitality industry is an asset.
  • Previous experience in human resources and payroll within the hospitality industry is an asset.
  • Knowledge of procurement processes and procedures within the hospitality sector is an asset.
  • Familiarity with onboarding processes for new hospitality employees is an asset.

Languages: The knowledge of English in both spoken and written communication is required for this position, French and Spanish will be considered an asset.
