Marcum LLP is seeking a full time Administrative Assistant to join our growing and well-established national firm in our Fort Lauderdale, Florida location .

This person will be responsible for providing full administrative support to Tax and Business Services professionals.

This role is 100% onsite. Hours : 8 : 30-5 : 30.

Responsibilities

  • Assist Partners / Directors and professionals in the Tax & Business Services dept. with their business and administrative needs as it relates to document filing, scanning and copying.
  • Composes, proofreads, and reviews routine correspondence including tax returns, engagement letters, IRS correspondence and other documents as requested.

Responsible for accuracy and clarity of final copy.

  • Prepare, type and edit correspondence, client invoices, engagement letters and statistical information (including Excel spreadsheets and Power Point presentations).
  • Assists with the management of GoFileRoom, including workflow management related to engagement letters, extensions, returns and other tasks.
  • Assists with preparation of forms within Prosystem Axcess and processes returns for filing in all federal and state tax jurisdictions.
  • Arranges for courier and overnight services.
  • Coordinate process for year-end delivery of organizers and engagement letters to clients.
  • Continually develop and maintain the client information tracking system.
  • Assists with department meeting notes.
  • Assist Partners with Maconomy and Sales Force
  • Assist with calendar and meeting coordination needs, which will include meeting setups and coordination of catering services as needed,
  • Assist with front desk coverage (on as-needed basis)
  • Interact professionally with clients.
  • Other administrative tasks as necessary.

Qualifications

  • Strong knowledge of Microsoft Office package including Word, Excel, and PowerPoint.
  • Experience with GoFileRoom and Prosystem Axcess a plus.
  • Strong verbal and written communication skills.
  • Ability to multitask, prioritize, and take initiative, be well organized.
  • Excellent verbal and written communication skills.
  • Ability to handle sensitive information with the highest degree of integrity and confidentiality.
  • Strong interpersonal skills, exhibit tact and diplomacy in all interactions.
  • Positive and professional attitude a must.
  • Desire and ability to work in a very fast-paced environment with ability to work extended hours as required (weekends included).
  • Must be able to work in the office.
  • Must be able to work overtime as needed.

Education and Experience Requirements

  • High School diploma or equivalent education
  • 5 years of administrative assistant experience in a professional services firm; experience supporting a CPA a plus.
