Capstone On Campus Management is Hiring an Office Assistant (Student Position) Near New York, NY

 
 

Job Title: Office Assistant (Student Position)

Location: The Towers at The City College of New York

Reports To: Associate Director of Housing 

Compensation: $16.00 per hour for up to of 20 hours per week. Position is not eligible for benefits.

FLSA Status: Student Non-Exempt

Summary:

The Office Assistant (OA) is a student staff member of The Towers at CCNY and Capstone On-Campus Management; the Office Assistant is responsible first to their supervisor, the Associate Director of Housing, and second, to the Director of Housing and Residence Life and Assistant Director of Operations. As a representative of The Towers at CCNY staff, the Office Assistant is responsible for positively contributing to a high-quality living experience for our residents.

Essential Duties and Responsibilities: 

Administrative Responsibilities:

  • Will have a maximum of twenty (20) office hours per week during the academic year
  • Attends various marketing events, including, but not limited to open houses throughout the CUNY or Non CUNY System, ‘tabling” and disseminating marketing materials (on and off campus), tours
  • Customer Service – may assist the Director and Assistant Director(s) by returning calls and inquiries on their behalf
  • Assists the Office Coordinator with office responsibilities as needed.
  • Responsible for checking and responding to messages sent to Towers email account
  • Performs other clerical duties as needed, such as filing, photocopying, ad collating, etc.
  • Organizes and maintains resident files
  • Collect payment and issue receipt of payment
  • Perform errands that help with daily functions
  • Assist with walk-ins and answer phone as needed
  • Assist with processing Financial Aid Forms
  • Other duties as assigned 

Role and Responsibility:

  • Foster an environment in which people’s rights and differences are respected.
  • Have a working knowledge of the terms and conditions for residential living.
  • Serve as a positive role model by conducting yourself maturely and responsibly in the presence of residents, both within and away from The Towers, and abiding by the standards outlined in the CCNY Code of Conduct and The Towers Rules and Regulations, including The Towers Resident Handbook.
  • Maintain confidentiality at all times.

Time Commitment:

  • Participate in individual meetings with supervisor(s).
  • Establish and implement a personal skill development plan with supervisor(s).
  • Receive prior approval from supervisor(s) for any involvement in time commitments outside of academics. Other than personal welfare, only academic requirements shall take priority over OA job duties and responsibilities.
  • Receive prior approval from supervisor(s) for additional employment beyond the OA position (not to exceed ten hours per week).
  • Assist and be present for the Move-In and Move-Out Processes at the start and end of each semester and other periods as determined by the supervisor. 
  • The OA position has an average commitment of 20 hours per week. The OA position begins as early as February 1, 2024, and ends May 31, 2025

Work Hours:

Monday-Friday: 9 am-5 pm

Some evening and weekend hours are needed to cover university recruitment events. Advance notice will be given. 

Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The work environment is mid-to-high paced. The noise level is usually moderate.

Physical Demands

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; climb stairs; sit and use hands to finger, handle, or feel. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and distance vision.

Qualifications 

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Must be a currently enrolled full-time student at CCNY (12 undergraduate credits or 9 graduate credits) or a current Towers resident, enrolled in 12 undergraduate credits or 9 graduate credits at a CUNY school.
  • Must have a minimum cumulative grade point average of 2.5 at the time of application and maintain this minimum GPA during the entire employment period.
  • Must attend a CUNY school for at least one complete semester at the start of the employment period. 
  • Be in good financial and judicial standing with The Towers, as well as his/her academic institution, at the start of the employment period and maintain good financial and judicial standing throughout the employment period.
  • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
  • Have knowledge of Microsoft Word, Excel and Outlook.
  • Ability to operate basic office equipment including photocopier, fax, and telephone. Basic typing and computer skills.

Compensation

$16.00 per hour for up to of 20 hours per week. Position is not eligible for benefits.
