  • $30.00 - $38.00 per hour depending on experience

Schedule
Monday – Friday 8:00 am to 5:00 pm or 8:30 am to 5:30 pm.
This position is 100 % in office. 
General Responsibilities
  • Provide daily administrative support to the Firm’s attorneys
  • Initiate and prepare documents for attorney approvals
  • Manage new client onboarding: data entry, welcome communication, prepare necessary documents, and create electronic files
  • Receive and greet clients
  • Create and maintain records
  • Manage and organize filing
  • Process and distribute mail
  • Professionally manage attorney phone calls from clients (i.e. excellent customer service)
  • Maintain electronic calendar for attorneys and self
  • Prepare firm engagement letters
  • Performs other duties as needed especially coverage across additional attorneys
  • Prepare various documents and communications, letters, forms, and client communications.
  • Maintain systems and integrations, CRM, data entry, and organization.
  • Notary Public –a plus but will assist in obtaining certification
  • Basic understanding and/or dedication to estate planning, trust administration, and probate administration – a plus
Qualifications
  • Exceptional attention to spelling, grammar, and punctuation
  • Ability to communicate and confidently interface with clients (in person, phone, and correspondence)
  • Highly organized and detailed-oriented
  • Proficient in Microsoft Office Suite
  • Knowledge of working with document comparison software is a plus
  • Exudes integrity
  • Willingness to learn
  • Proactive and takes initiative
Requirements for consideration but will train the right person:
  • Five years of experience in an administrative support role supporting multiple managers (Admin. Assistant, Office Manager, Executive Assistant, Office Administrator, etc.) – law office experience preferred
  • College degree - preferred
  • Familiar with California Courts, Secretary of State, and County Recorder filing/recording procedures and requirements - preferred
  • Familiarity with Judicial Council forms for probate proceedings - preferred
  • Familiarity with estate planning and trust administration documents - preferred
  • Experience in estate planning, trust administration, and probate administration - preferred
