About the Job
As an Executive Assistant at BWAM, you will help manage the day-to-day operations for our senior executives. This includes extensive calendaring for internal and external meetings, processing expense reports, and managing travel arrangements. You have excessive attention to detail, ensuring that your work product is accurate and reflects the high standards of our firm while maintaining confidentiality with sensitive information. You approach your work with a service-drive approach, self-motivated to be proactive anticipating the needs of others.
Responsibilities
Provide support as needed to Bellwether’s senior leadership team
Manage calendars, including scheduling internal and external appointments, confirm meetings, and coordinate with other assistants
Answer emails and calls, acting as a gatekeeper
Book conference rooms and make reservations; meet and greet guests
Coordinate travel arrangements including flights, hotels, cars, etc.
Complete detailed expense reports, including tracking receipts
Maintain and organize files, meeting preparation, deliverable management
Assist/lead ad hoc projects, including seasonal event planning and gift purchasing
Qualifications
A minimum of 3 years’ relevant experience
Prior experience in real estate or financial services preferred
Excellent verbal and written communication skills; high EQ
Conduct responsibilities with the highest level of confidentiality and integrity
Ability to build relationships with key stakeholders and employees at every level
Ability to multitask and prioritize based on evolving operational needs
Highly proficient in Microsoft Suite

Responsibilities include weekly leasing calls, monthly operations reviews, annual budget and business plan reviews and financial analysis; and
Investment- and Fund-level Reforecasting: BWAM is responsible for creating proprietary investment-level valuation models for the portfolio to enhance our ability to reforecast investment-and fund-level performance on a routine basis.
