Job Title : Administrative Assistant Specialist

Shift : 8am 5pm but can beflexible

Pay Rate : $18 $22an hour depending on related experience

Location : Naples FL

NOTE : Will be supportingSupply Chain. Looking for someone with very advanced excel skillsthat will help us with data mining and setting up improvedprocesses to assist in Supply Chain improvement.

Someone that canpull information from excel based data files and organize it intohelpful process improvements that may include things like automaticemailing files to suppliers and inputting information back into ourAMAPS system.

We would like someone with veryadvanced Excel skills. Pivot tables V looks ups Creating Macros.

POSITIONSUMMARY :

With minimumsupervision responsible for administrative duties of broad scopeand complexity requiring independent judgement and familiarity withapplicable procedures.

RESPONSIBILITIES :

  • Following establishedprocedures perform a variety of administrative responsibilities.May be required to perform some or all of thefollowing :
  • Operate word processor personalcomputer or CRT to perform the full scope of word processinggraphics and / or publishing applications as well as creatingdocuments containing financial or statistical data or scientifictechnical or legalterminology.
  • Enter and manipulate data onspreadsheet data base or file management programs and perform abroad range of typingprojects.
  • Set priorities and procedures foraccomplishing work. May be required to delegate portions to othersor offer assistance and support toothers.
  • Collect data conduct research andcompile information using a variety of mathematical calculationsfor a broad range of reports andprojects.
  • Compose analyze and distributedocuments. Proofread and correct grammatical typographicalcompositional or data errors.
  • Conduct meetings orpresentations.
  • Conduct inquiries into specificproblems such as delays to ensure objectives are being met.Communicate potentially negative situations to management in aconstructive manner.
  • Read mail highlight action orimportant items attach relevant files or information beforedistributing. Respond to routine correspondence or draft routineresponses for review andsignature.
  • Interface effectively with teammembers functional departments and customers. Screen calls respondto routine questions and receive and / or escortvisitors.
  • Schedule appointments and makedomestic and international travelarrangements.
  • Coordinate with internal andexternal executive level staff to schedule in house and off sitemeetings. Coordination may include arrangements for travel andhotel accommodations meal menus recreational programs guestspeakers and developingagendas.
  • Maintain accurate and up to datefiles and record systems. Maintain confidential records andreports.

JobRequirements :

  • Three years relatedoffice experience or demonstrated ability to perform describedresponsibilities. HSEducation.
  • Ability to accurately type 55 wpmwhere applicable.
  • Must demonstrate effective verbalwritten and interpersonal communicationskills.
  • Ability to work effectively withothers and be a participative teamplayer.
