American Games is Hiring an Administrative Assistant I Near Council, IA

DEPARTMENT: Finance

LOCATION: American Games (504 34th Avenue Council Bluffs, IA)

SCHEDULE: Monday-Friday (8:00 AM - 5:00 PM)


What You'll Do

As the Administrative Assistant for this position, you will facilitate the efficient operation of the assigned department(s) by performing a variety of clerical and administrative tasks. In this role, the candidate will work with the Finance team to compile and sort invoices, checks, and other business transaction documents. Ultimately, our top-notch Administrative Assistant should be a highly organized and process-driven individual with the ability to handle confidential information. The candidate for this position should have business acumen and the ability to complete various tasks accurately and efficiently.

Additional Duties and Responsibilities Include:

  • Manage front desk operations during regular business hours.
  • Welcomes and directs new employees, visitors and clients.
  • Answers and transfers phone calls, screening calls when necessary
  • Assist with accounts payable and accounts receivable.
  • Maintain organized and comfortable office environment, filing systems, ordering office supplies, and updating inventory as assigned.
  • Prepare and distribute daily sales and production reports, compiling financial data to prepare reports, ensuring client accounts are accurate and up to date.
  • Work with the appropriate departments to resolve issues such as pricing or receipt discrepancies.
  • Keep supervisor informed about Accounts Payable/Receivable matters and the alike
  • Accurately file invoice payments and record documents for future reference and audit availability
  • Maintain digital records of financial transactions, documents, and supplier information.
  • Responds to and resolves administrative inquiries and questions, including assisting Human Resources with various HR duties.
  • Other duties as assigned.

What You'll Need

  • High School Diploma or GED required.
  • Associates degree preferred, will consider equivalent work experience.
  • 3 to 5 years of experience in an administrative-type role with a basic understanding of clerical procedures and systems such as recordkeeping, filing and invoicing comfort with high volume of data entry and be self-driven to complete routine/repetitive tasks and general accountant (accounts payable transactions and accounts receivable) and strong mathematical skills.
  • Proficiency in Microsoft Office Suite
  • Excellent written and verbal communication skills
  • High energy personality with excellent interpersonal and customer service skills
  • Honesty and integrity are essential - must have ability to handle highly confidential information.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to perform in a fast-paced environment with priorities and deadlines changing regularly.
  • Highly organized, self-motivated individual who can work independently and in a diverse environment.
  • Keen attention to detail.
  • Ability to work well in a diverse environment.
  • External candidates must be a US Citizen/Permanent Resident.
