The Position:

We’re looking for an eager, organized, team oriented Administrative Assistant to join our team. As the Administrative Assistant for our ABA clinic, you will be the primary point of contact for staff, clients, families, and visitors. You will provide essential administrative support to ensure the smooth operation of the clinic, assist with scheduling appointments, maintain accurate records, and support the clinical team with various tasks. Your role is critical in facilitating communication and coordination among team members and promoting a positive experience for our clients and their families.

Key Responsibilities:

Greet clients, families, and visitors in a friendly and professional manner, and provide assistance as needed.

· Manage phone calls, emails, and other communications, directing inquiries to the appropriate staff members and ensuring timely responses.

· Maintain the daily schedule of client appointments, intake assessments, and follow-up sessions, coordinating with clinical staff to optimize scheduling efficiency.

· Maintain electronic and paper records, including client files, treatment plans, progress notes, and billing information, in compliance with confidentiality and privacy regulations.

· Assist with insurance verification, authorization, and billing processes, ensuring accuracy and completeness of documentation.

· Coordinate with external service providers, such as insurance companies, schools, and community organizations, to facilitate referrals and communication.

· Prepare and distribute educational materials, forms, and resources to clients and families as directed by clinical staff. 

Assist with inventory management, ordering supplies, and maintaining cleanliness and organization in common areas. 

· Support administrative tasks related to human resources, such as scheduling interviews, onboarding new hires, and maintaining personnel records. 

· Collaborate with team members to identify opportunities for process improvements and contribute to the overall effectiveness of clinic operations. 

Qualifications:

· High school diploma or equivalent required; associate or bachelor's degree preferred.

· Prior experience in an administrative support role, preferably in a healthcare or clinic setting.

· Excellent organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.

· Strong interpersonal and communication skills, both written and verbal.

· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and electronic health record (EHR) systems.

· Attention to detail and accuracy in data entry and record-keeping.

· Ability to maintain confidentiality and handle sensitive information with discretion.

· Compassionate and customer-focused attitude with a commitment to providing exceptional service to clients and families.
