Executive Assistant
Role Summary
Our client seeks an organized and proactive individual to join our team as an executive assistant. This role will support upper management and support staff by handling administrative tasks, helping with projects, coordinating schedules, and supporting daily operations. The ideal candidate should have 5 years of experience in the oil and gas industry, be detail-oriented, possess strong communication skills, and be comfortable working in a fast-paced environment.
Key Results Area
Monitor and control budgets, seeking cost-effective solutions without compromising quality, and provide regular reports
Utilizes the software to manage project scopes, costs, schedules, and documents
Type, assemble, organize, file, and distribute meeting minutes
Act as the liaison between executive leadership and corporate leadership
Log and transmit documents as directed by the CEO
Maintains accurate records, reports, receipts, and other documents
Responsible for managing file system (systematic arrangement and retrieval of records, documents, or information)
Draft and edit various documents, including correspondence, presentations, reports, and memos, maintaining a high level of accuracy, confidentiality, and attention to detail
Coordinate and manage special projects and assignments, both independently and in collaboration with other team members
Assist support staff and act as a support with any projects, tasks, or updates needed (Accounting, HR, executives)
Track and prioritize incoming requests, emails, and other correspondences, highlighting urgent matters and ensuring they are addressed promptly
Manage and organize executive calendars, including scheduling meetings, appointments, and travel arrangements
Perform advanced, varied, and confidential administrative duties in support of business efforts
Fielding phone calls and delivering messages
Manage multiple projects simultaneously while maintaining strong attention to detail
Other duties as assigned
Skills & Qualifications
Bachelor's degree preferred
Minimum of five year's experience working as an Administrative Assistant for an executive
Proficiency in Microsoft office (excel and word)
Excellent organization, time management, attention to detail and communication skills
Assertive and strong personality
Flexibility to adapt to changing priorities and deadlines
Able to work with different leaders to ensure a quality environment within the C-Suite
Great data entry skills
