About our position

We’re looking for a well-organized and enthusiastic team player with strong skills and experience to support ASI’s HR department. In this position, you’ll provide excellent customer service and support to our global staff, serve as a knowledgeable resource for HR policies and procedures, maintain accurate HR records and documentation, enter data into and pull reports from our HRIS (ADP), and perform other administrative and facilities management tasks. You’ll also work closely with other members of the HR and Legal team to recruit and onboard new employees and track compliance with training and other legal requirements. Finally, you will play a key role in organizing employee events designed to ensure employee engagement for our nearly 400 employees located around the world.

What you’ll be doing

  • Maintaining accurate and up-to-date files, records, and documentation, including processing life events in ADP and other systems.
  • Answering frequently asked questions from applicants and employees relating to standard policies, benefits, hiring processes, etc.
  • Performing routine tasks required to support HR programs such as annual performance evaluations, compensation planning, stock option administration, employee training, and Balanced ScoreCard reporting.
  • Creating and distributing bi-monthly employee newsletters.
  • Planning and executing global employee engagement events.
  • Performing administrative and facilities management tasks, including handling all incoming calls and mail/delivery items, outgoing mail/shipments, greeting guests, stocking supplies, and liaising with property management, service vendors and employees.
  • Assisting with recruiting and new hire onboarding by conducting screening interviews and reference/ background checks.
  • Performing basic bookkeeping work for the department by reconciling invoices, submitting expense reports and invoices for timely payment, and tracking monthly departmental expenses.
  • Performing other duties and job responsibilities as may be assigned from time to time.
    What we want you to have
    • 3 years of relevant experience in an HR department or other administrative role
    • Bachelor's degree or equivalent in business, human resources or related field
    • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
    • Collaborative team player, with the ability to work in small groups and independently.
    • Strong verbal and written communication skills.
    • Strong organizational skills, with the ability to manage multiple projects simultaneously, and detail oriented.
    • Proficient with Microsoft Office Suite and related software.
    • Proficient with or has the ability to quickly learn ADP Workforce Now (HRIS).
