Advanced Mechanical Inc is Hiring an Administrative Assistant Near Bismarck, ND

Office Assistant must be self-motivated and have strong customer service skills, data entry & accuracy experience, the ability to answer a multi-line telephone, possess proficient computer knowledge, have great organizational skills and must be a team player.

Pay starts $18/hr-$19/hr DOE

Essential Responsibilities:
Operations:

  • Answer inbound calls on first ring, screen calls, and transfer calls to the appropriate department and/or personnel member
  • Greet all customers with a smile, as you are the first image of our office, listen for the front door if you are away from your desk to greet the customer immediately.
  • Hand off customers to the correct mgmt. staff/ or shop personnel.
  • Provide prompt and accurate customer service, assuring customer satisfaction.
  • Maintain a clean and organized work environment at the front desk and waiting room.
  • Follow security & confidentiality measures and policies applicable of managing the front desk office.
  • Attention to detail.
  • Ability to multi task
  • Data Entry and Accuracy with Numbers
  • Managing filing system and accuracy in filing (alpha-numeric)
  • Update, maintain and scan documents to the correct shared folder or customer accounts in our software system.
  • Perform general office clerical duties- to include printing blueprints, spec books, etc…
  • Create, maintain, and enter daily information into the database.
  • Provide support to the operations team/management team on various daily tasks.
  • Team Player to ensure there is adequate phone coverage at all times
  • Ability to dispatch service calls during lunch breaks and when the Service Dispatcher is out of the office.

Position Requirements:

  • At least a minimum of 2-5 years of experience in a customer services role in an office setting is required.
  • Exceptional customer services skills is required. Warm personality with strong communication skills.
  • Strong proficiency on PC applications, i.e. MS Words, Excel, Outlook, software specific applications.
  • Well-developed oral and written communication skills.
  • Proven organizational skills and attention to detail.
  • Ability to adapt and work effectively in a continuously changing environment, due to frequent interruptions
  • Able to make independent judgments and perform with minimal supervision – A self-starter.
  • Must have flexible interpersonal style to facilitate teamwork. Being professional in the work environment is crucial.
  • Dress code for this position is business casual, to include jeans.
  • Requires frequent sitting, standing, stooping, bending with minimal lifting.
