Short Description for Internal CandidatesThis Administrative Assistant/AR Clerk is responsible for supporting the Accounting Analyst or Facility Managers in the operational, financial, personnel, risk, and safety performance of the various Parking accounts in the Northern California market. The person in this role is highly organized, analytical, an excellent communicator and can work independently as well as with teams. Position Summary Details

This Administrative Assistant/AR Clerk is responsible for supporting the Accounting Analyst or Facility Managers in the operational, financial, personnel, risk, and safety performance of the various Parking accounts in the Northern California market. The person in this role is highly organized, analytical, an excellent communicator and can work independently as well as with teams. This position reports directly to the Accounting Analyst or Facility Manager.

Pay: $23.50 - 24.50 per hour

The pay listed is the hourly range or the hourly rate for this position. Responsibilities

  • Proficient in MS Office programs;
  • Reaches out to customers by phone and email to request payments when due;
  • Enforces last or delinquent payments with phone calls, emails and communication with Facility Manager to take further operations enforcement.
  • Partner with Accounting Analyst to distribute account level data, including AR, labor variance and related financial reporting;
  • Assist the Facility Manager with Parker AR by running report, processing invoices, notices and collections for all Parker AR items.

Other operational, financial or safety/risk tasks and special projects as needed.

  • Manage location mapping function which would require a working knowledge of physical shifts within the yards, such as Krail being moved or certain areas being given/taken by the Port, and then show said changes by adjusting our maps/totals.
  • Create monthly location documents showing deposit summaries and totals.
  • Deposit Client check deposits on Mondays, Wednesdays, and Fridays.
  • Pickup checks and deposit slips from the Port accounting department.
  • Interacts and work closely with Admiral Security Supervisor and staff to ensure the smooth operation of the facility.
  • Responsible for assigning Reserved Spaces to the clients and truck drivers.
  • Update, maintain and reconcile the current stall inventory and updates location drawings for the Port of Oakland use.
  • Pick up mails / checks from the Truck Parking Lots and pick up supplies when needed.

Other duties as assigned.

Qualifications

  • Must be 18 years of age or older.
  • Must meet all requirements to receive approval for working in specific ATS environments (if applicable),

  • Customer Service Experience
