We are looking for an Executive Assistant to join our team in Santa Monica, CA. The Executive Assistant (EA) serves as the primary support on all matters pertaining to the Chief Investment Officer (CIO). The Executive Assistant also serves as a liaison to the department management teams; organizes and coordinates executive schedules and maintains ongoing status of the CIO’s special projects.

The EA will also provide administrative support to other department heads, (subordinate to the needs of the CIO).

The EA must be a trusted member of the team, with the maturity, good judgment and character to properly handle a wide range of matters, including those of a sensitive or confidential nature.

The Executive Assistant must be creative and enjoy working within a team environment that is mission-driven, results-driven and continuously evolving. The ideal 

individual will exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. 

The Executive Assistant will work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. 

How You’ll Make a Difference:

  • Completes a broad variety of administrative tasks including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. 
  • Manages all of the CIO’s communication including, but not limited to, all inbound and outbound electronic mail communication and phone calls. Answers in bound calls on behalf of the CIO and maintains a very detailed and complex database of all communications and related work product.
  • Plans, coordinates and ensures the schedule is followed and respected. 
  • Communicates directly and on behalf of the CIO with select parties and constituencies, as directed.
  • Maintains electronic filing systems and computer databases
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CIO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Provides a bridge for smooth communication between the CIO’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff. 
  • Works closely and effectively with the CIO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. 
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

For a variety of business, safety, and technical reasons, it is necessary that all positions at WWG maintain a high level of flexibility in reference to duties you will be expected to perform.

About You:

  • Bachelor’s degree 
  • Experience: 10 years of experience 
  • Computer skills: Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, outside clients and vendors.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment 
  • Forward looking thinker, who actively seeks opportunities and proposes solution
  • Expert level written and verbal communication skills
  • Relationship skills: Highly resourceful team-player, with the ability to also be extremely effective independently

  • Organizational skills/Multi-tasking: Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
