A wedding company in Summerlin is seeking an executive assistant to assist the CEO and work in the front reception.
Schedule
This position is full-time 9:00am-5:00pm. The schedule is Tuesday – Saturday, with Sunday and Monday as days off.
Responsibilities
· Greeting clients as they enter the office and getting them where they need to go.
· Touring locations with clients.
· Maintaining organization and cleanliness of the front office.
· Monitoring office supplies and informing the manager when something is needed.
· Answering and transferring phone calls on a multi-line system.
· Taking messages and relaying to the proper person and department.
· Monitoring and scheduling appointments via Microsoft Outlook.
· Ensuring events are accurate and notated on signage.
· Data entry in various programs.
· Providing administrative support to the CEO.
· Assisting with processing payroll.
· Organizing documents and files for the CEO.
· Assisting the CEO with deposits and additional accounting processes.
· Occasionally assisting event coordinators.
· Additional duties requested by Management.
Qualifications
· Must be able to pass a background check.
· Receptionist and/or executive assistant experience required; HR experience a plus!
· Must be able to communicate both written and verbally in English; bilingual a plus!
· Proficiency in Microsoft and Excel programs.
· Proficiency in Google Workspace.
· Excellent interpersonal skills.
· Positive disposition and friendly personality.
· Ability to remain in a stationary position for much of shift as well as ability to take clients on tours.
· Ability to lift up to 25 pounds.
· High level of professionalism and confidentiality.
· Accustomed to or able to adjust to a fast-paced environment.
· Excellent organizational skills and ability to prioritize tasks.
· Ability to handle multiple lines on a phone system.
· Attention to detail and problem-solving skills.
