The Administrative Assistant plays a crucial role in providing administrative support to ensure efficient operation of
the office. The Administrative Assistant’s responsibilities will include handling a variety of tasks such as managing
schedules, organizing meetings, coordinating travel arrangements, and maintaining filing systems. The
Administrative Assistant will serve as the primary point of contact for internal and external stakeholders,
demonstrating professionalism and excellent communication skills.
ESSENTIAL FUNCTIONS:
Be aware and knowledgeable of program leadership schedules, appointments, and travel arrangements.
Coordinate meetings, including scheduling, sending invitations, booking meeting rooms, and preparing
necessary materials.
Answer and direct phone calls, emails, and other correspondence to appropriate parties.
Prepare and distribute correspondence, memos, letters, reports, and other documents.
Assist in the preparation of presentations and reports.
Maintain filing systems, both electronic and physical, ensuring proper organization and easy retrieval of
documents.
Assist in the preparation of expense reports and reimbursement requests.
Coordinate office supplies procurement and manage inventory levels.
Handle sensitive and confidential information with discretion.
Perform general clerical duties, including photocopying, scanning, faxing, and mailing.
Provide support to other team members as needed.
Other tasks and responsibilities as assigned by supervisors.
SKILLS & ABILITIES:
Strong written and verbal communication skills.
Ability to prioritize tasks and work independently with minimal supervision.
Attention to detail and ability to create and maintain systems of organization.

Proficiency in Microsoft Office and Google Suite (Word, Excel, PowerPoint, Outlook).
