Key Business Objectives:
The Accounts Payable Clerk will be involved in the entire payables process, ensuring timely and accurate invoice processing, communicating with vendors regarding invoice statement auditing as well as payment record keeping.The AP Clerk will report directly to the Accounts Payable Manager and will be required to interface with operational managers.
Duties and Responsibilities:
- Manage and field incoming phone calls to general AP phone line.
- Manage AP email inbox and load documents to system for processing.
- Follow established procedures and assist with reviewing vendor statements, processing invoices, mailing payments, etc.
- Direct interface with vendors on inquiries, payment, invoice copies, W-9 forms, etc.
- Maintain AP files electronically and go to and from offsite storage as needed.
- Assist with weekly check run process as needed.
- Data entry assistance in accounting systems as needed.
- Assist Manager with vendor setup/application requests.
- Assist with audit requests and load support files to SharePoint.
- Communicate with vendors and internal departments via phone, email, or mail.
- Any other duties or responsibilities as assigned by supervisor.
- Full-time hourly position.
- Must have a High School diploma or equivalent.
- Office experience preferred
- Knowledge of accounts payable rules, regulations, and general procedures
- Knowledge of office administration and procedures
- Knowledge of general bookkeeping procedures
- Basic knowledge of Microsoft Excel and Office suite
- Ability to understand written and verbal communication from the company and supervisor including training, procedures, instructions, etc.
- General knowledge of accounting software
- Strong attention to detail
- Excellent interpersonal skills
- Excellent listening, written, and verbal communication skills
- Organizational and time management skills
- Analytic and problem-solving skills
- Applicant must have the ability to legally work in the U.S.
- Working conditions are in an office setting, Mondy-Friday with hybrid options available.
- The incumbent spends the majority of time sitting or standing in a comfortable position with ample opportunity to move about.
