Job Description Summary
The Program Coordinator provides wide-ranging support for the coordination and promotion of programming, events, and resources offered by the Graduate Student Center, which serves over 16,000 graduate and professional students at Penn. The Program Coordinator will assist the Grad Center programming teams with aspects planning, implementing, and assessing a variety of student programs and events offered throughout the year; provide student assistance and resource referrals through direct verbal and written communication, and help promote the Grad Center to students and the broader Penn Community through outreach and communications. The Program Coordinator manages the Grad Center's primary communications, including general email inquiries, the website, newsletters, social media, and related media. The Program Coordinator will work closely with all members of the Grad Center team to assist with coordinating and executing large-scale activities and special events including graduation activities, awards ceremonies, and receptions. The Program Coordinator also provides additional administrative assistance, as needed, to the Director in order to support successful implementation of strategic initiatives and special projects.
Job Description
Responsibilities
  • Manages primary Grad Center communications & outreach, including general email inbox, events calendar, newsletter, and related media. Promote Center events in new and unique ways to increase student awareness and participation across all 12 graduate schools.
  • Provides financial administrative assistance for Center programming and events: purchasing, invoicing, billing, processing payments, etc. for student activities.
  • Provides administrative support to support programming teams with aspects of successful event planning and implementation, including meeting and room scheduling, managing a general programming calendar, and managing programming inventory.
  • Provide additional administrative assistance to the Director in support of strategic initiatives and special projects.
  • Assist with planning and staffing for Grad Center and special events, as needed.
  • Other duties and responsibilities as assigned and appropriate.
Qualifications
  • H.S. Diploma/GED and 5-7 years experience with event planning and/or student affairs or equivalent combination of education and experience required.
  • Bachelor's degree and 1-3 years of experience with event planning and/or student affairs preferred.
