Job Description Summary

The Program Coordinator will report to the Center's Director and will provide administrative and project support for daily center operations, including communications, workflow, travel, budget tracking, financial processing, event planning, and communications.

The Thalheimer Center for Cardio-Oncology's mission is to advance rigorous, impactful and actionable science; provide highly accessible, empathic, exceptional patient care; and build the next generation of physicians, scientists, and care providers. The Program Coordinator will report to the Center's Director and will provide administrative and project support for daily center operations, including communications, workflow, travel, budget tracking, financial processing, event planning, and communications.
Job Responsibilities
Organize and expedite all the flow of work through the Center, coordinating clinical, research and educational missions. Initiate follow-up actions. Serve as the center resource to others in the resolution of problems or issues. Respond to general inquiries and interact with school of medicine, hospital, and university offices as appropriate.
Coordinate the planning, communications, and execution of the educational and patient engagement programs of the center, including patient advocacy group meetings, advisory group meetings, and symposia.
Lead and/or contribute to all communications efforts, including design and maintenance of the Center website, email correspondence, promotional materials and event invitations, and affiliate communications. Liaise with hospital and PSOM communications offices as needed.
Assist with preparation of the center's annual budget and planning; track and monitor budget expenditures and report on variances. Liaise with the Division's finance office regarding financial policy and processing. Support the Director in making informed budget and spending decisions. Provide budget projections as needed throughout the fiscal year.
Coordinate travel and accommodation arrangements and itineraries via WorldTravel/Concur for the Center leadership team and visitors as needed. Process travel reimbursement via Concur.
Other duties and responsibilities as assigned
Qualifications
Bachelor of Arts and 2 to 3 years of experience or equivalent combination of education and experience is required.
This position is contingent upon grant funding.
