The University of Notre Dame (ND.jobs) is accepting applications for a Hockey Administrative Assistant.

Main Responsibilities Include:
  • Perform basic reception duties but not limited to office receptionist, managing phones, correspondence, maintaining office supply inventory, expense reports, donation requests, game contracts, purchase orders, and updating office decor (pictures, theming, etc.).
  • Alumni coordination with the coaching staff to monitor, update our alumni mailing lists and communicate regular updates from the team. Other duties as assigned by the coaching and support staff.
  • Recruiting Assistant:
    Organizing official and unofficial visits, itineraries, travel, event tickets, and lodging
    Organize and handle all aspects of National Letters of Intent (NLI).
    Create, organize, and update admission files for committed recruits.
    Respond with general correspondence to potential prospects that contact us.
    Work with the coaching staff on recruiting mailers.
  • Plan, execute, and assist with social events for the team, staff, parents, recruits, and alumni. Those events include but are not limited to reunions (in-season/out of season), golf tournament, recruit tailgates, award programs, senior night, and parent recognitions.
  • Assisting other areas, teams or groups as assigned by the athletic department.
  • Summer Camps: Work with the coaching staff to organize and manage the daily operation of our summer hockey camps

Minimum Qualifications:
  • 1 to 2 years of experience
  • Must demonstrate an understanding and compliance of NCAA rules.
  • Strong organizational skills to work effectively in a multi-task environment
  • A strong sense of ownership and accountability and a desire to proactively identify and recommend improvements in operational processes
  • Working knowledge of office equipment, like printers and fax machines
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • high proficiency with the Microsoft Office programs and Google calendaring and email system
  • The ability to maintain confidentiality and use discretion when dealing with sensitive personnel or administrative information
