Whether it concerns global health or nanoscience, research is governed by regulations. Federal, sponsor, and University guidelines must be followed to ensure responsible stewardship of funding and to guarantee project goals are met. Compliance with changing regulations is critically important to the research enterprise. To keep up with increasing regulations, the administrative arm of NDR is hiring an Administrative Assistant (AA)for compliance. Notre Dame Research Administration and Compliance (NDRAC) invites interested candidates who have an eye for detail and ability to think critically to apply for this new position.
The AA will be part of a small compliance team and have the opportunity to help shape the unit's procedures from the start. This team is responsible for assisting researchers with compliance protocols for human and animal research, export controls, federal sponsor disclosures, research misconduct, international research, and more. The successful AA will be someone who understands, or, who can learn the "big picture" of research compliance but also keep track of and follow up on small details to keep the unit's workflow moving.
The AA will be tasked with taking information from a variety of sources (e.g., one-on-one or team meetings) and translating it into clear and concise documentation to ensure the unit runs efficiently and smoothly. The ideal candidate will be both experienced and self-assured enough to recommend solutions or best practices for addressing process or procedural challenges.
The AA must be professional in verbal and written communications with faculty and other stakeholders, as well as maintain the confidentiality of any sensitive information. The AA must be able to arrange and support meetings independently from start to finish including making room reservations, sending calendar invitations, ordering refreshments, drafting agendas, taking notes, and distributing important information afterward.
Additional responsibilities include but are not limited to:
- Documentation, Materials Creation & Website: Establish and maintain records and systems for ensuring required compliance documentation exists and managing record retention requirements; assist with updating web content for research compliance.
- Systems assistance: Register researchers for required training, and assist users with accessing training websites (e.g. CITI, AALAS, ComplyND, etc.); conduct basic restricted party screenings and provide any affirmative results to export control program staff for action; serve as a resource and first line of contact for users for compliance software/systems.
- Workflow efficiency: Facilitate the completion of technology control plans, data management plans, conflict of interest management plans, etc., and obtain relevant signatures; assist with the crosschecking and monitoring of disclosures with other project support and curriculum vitae; assist with the screening of principal investigators and key personnel against the COI disclosure system.
- General administration: Audit records to ensure that training requirements are current for faculty and staff on compliance protocols, technology control plans, etc.
Experience working in a research compliance office is highly desirable.
Minimum Qualifications:- Either a bachelors degree with 1 to 2 years of professional work experience or an associates degree with 2 to 3 years of professional work experience
- Excellent written and verbal communication skills
- Excellent organization and time management skills
- Proficient with Microsoft Office Suite and other basic software and applications
- Ability to maintain and safeguard confidential information
Preferred Qualifications:- Professional experience in the field of research compliance
