The University of Notre Dame (ND.jobs) is accepting applications for a Administrative Coordinator, ND International Security Center.

The Administrative Coordinator in the Notre Dame International Security Center(NDISC)works in conjunction with the Center Director, Assistant Director, Directors of the undergraduate program, and Directors of the Hans J. Morgenthau program, under the direction of the Program Manager to oversee all tasks related to center activities including but not limited to events, supporting the undergraduate fellows and interdisciplinary minor, in-processing of new fellows, and supports grant reporting. Coordinates the gathering of information and processing reports as needed. Hires and oversees student workers. Oversees the center office spaces. Ensure that the administrative responsibilities of the center are met as directed by the Director.
Essential Duties
  • Ensure that the administrative responsibilities of the center are met. Administer events, including advertising, scheduling travel, lodging, meals, and meetings for campus visits. Process packets for pre-and post-doctoral applicants. Maintain undergraduate student records for NDISC Fellows and Interdisciplinary minors. Support HJM program events during surge periods.
  • Keep track of office supplies and, on a timely basis, requisition what is needed to maintain the smooth functioning of the center; keep the office well organized and neat in appearance; maintain filing systems, creating new categories as needed; and oversee student workers by completing the paperwork for their hire, directing and supervising their activities, and submitting their hours using UltraTime. Maintain and update the center web page; sort and distribute mail; take and distribute the minutes of department meetings; Work collaboratively in conjunction with the other staff to support the needs of the department.
  • Manage the Chair's calendar, correspondence, and travel. Maintain files and database, recordkeeping, and generate reports. Schedule faculty and committee meetings (secure a location, materials, and refreshments).
  • Under the supervision of the Program Manager, monitor the financial status of the center by accessing GLez and, when necessary, communicating with Accounting; verify amounts and prepare check requisitions, travel expenses, etc.; and make all financial arrangements for visitors to the center; budgeting and forecasting the center's expenses
  • Organize seminars and talks including travel and reimbursement for external visitors, reserving rooms, advertising, coordinating meals and refreshments
  • Oversee the center's physical spaces and work with the A & L Dean's Office to manage office assignments. Update center signage and artwork. Assure effective onboarding of new students and fellows and manage outgoing students and fellows. Orders and oversees payment for major office expenses (furniture, etc.) and oversees other department orders.
Minimum Qualifications:
  • High school diploma or GED
  • 1 to 2 years of administrative experience
  • Excellent organizational skills, high level of attention to detail, ability to prioritize and meet deadlines, and excellent oral and verbal communication skills.
  • Must be proficient in computer skills and able to work with a number of standard software programs: Word, Excel, Google Suite, Gmail
Preferred Qualifications:
  • Experience with File Maker Pro, Ultra Time, and Interfolio.
