Unite Here Local 11 is Hiring an Administrative Assistant Near Los Angeles, CA

UNITE HERE Local 11 is currently hiring for a full-time Administrative Assistant role. This position involves providing administrative support for the Union’s Co-President, as well as attending to the day-to-day office operations and providing administrative support to staff of the Union.

UNITE HERE Local 11 represents approximately 36,000 workers in the hospitality and multi-service industries throughout Los Angeles, Orange County, California and Phoenix, Arizona. We are housekeepers, bell men, food servers, cooks, dishwashers, bartenders and many other employees in the tourism and food service industries. UNITE HERE Local 11 has four offices in California (Los Angeles, Garden Grove, Inglewood, and Long Beach) and one in Phoenix, Arizona. The main office is located at 464 S Lucas Ave, Suite 201, Los Angeles, CA 90017. This position works primarily from the main office in Los Angeles.

Job Responsibilities (include but are not limited to the following):

Assistant to Co-President

  • Organize and schedule appointments/meetings and maintain the calendar
  • Submit and reconcile expense reports.
  • Draft memos and correspondence as necessary
  • Manage signature and information requests as necessary
  • Make travel arrangements and plan trips for the Co-President

Administration

  • Book travel arrangements including flights, buses, hotels, meals and car rentals.
  • Coordinate logistics for large meetings and events, including food orders and supplies
  • Answer incoming telephone calls and retrieve daily messages.
  • Maintain a digital filing system and generate reports as required
  • Order office supplies. Maintain and cultivate vendor relationships, processing invoices and submitting payment requests in a timely manner.
  • Perform translation of written text from English to Spanish and vice versa.
  • Carry out on-site oral translation in meetings as necessary.
  • Assist in preparation for Executive Board and Membership meetings.
  • Receive and distribute mail on a daily basis.
  • Other duties as assigned.

Job Requirements/Qualifications: The requirements listed below represent the knowledge, skill, and/or ability required.

  • 2-3 years experience in related field
  • Excellent written and verbal communications skills with members, employers and union staff
  • Knowledge of office management systems and procedures
  • Proficiency in Google Suite, Microsoft Office: Excel, Word, Powerpoint, and ability to work on Mac or PC. Experience with Canva, Wordpress or similar website design program and database experience desired.
  • Ability to troubleshoot office printers, scanners, computers and other technology, and to learn new programs quickly.
  • Demonstrated excellent organizational skills and high capacity for attention to detail, and consistent follow-thru of multi-step projects.
  • Typing at or above 60 wpm.
  • Proficient data entry skills
  • Excellent time management skills and the ability to prioritize competing tasks based on urgency and importance
  • Flexibility to work with shifting priorities and balance the needs of multiple teams
  • Ability to work independently within the context of a plan
  • Good interpersonal and communication skills; must work well with others
  • All applicants must have a resume with six months of recent office experience and a recent employment reference
  • Strong preference for bilingual English/Spanish

Job Type: Full-time

Pay: $23.05 per hour

Expected hours: 40 per week
