Office Manager/Receptionist Position

The Office Manager/Receptionist is responsible for the day to day operations and administrative duties of the front desk at The Opportunity Tree’s Phoenix campus. This position requires a detail-oriented person, who can multi-task and complete a variety of administrative duties, professionally greet visitors, answer phones, set appointments, inventory supplies, while also frequently interacting with other employees and people with intellectual disabilities in a high energy, fast paced environment. The Office Manager/Receptionist will report to the Operations department.

  • Receive and process all incoming and outgoing communications and packages; transfer calls as appropriate, check messages and route accordingly.
  • Greet and route visitors to appropriate personnel, implementing all visitor related screening procedures.
  • Manage agency office phones as well as office phone extension list and update accordingly.
  • Maintain working inventory of copy room supplies, administrative supplies, agency’s essential supplies, PPE supplies, over-the-counter first aid supplies, agency phones, and other relevant supplies.
  • Manage the daily checking in and checking out of agency vehicles by campus staff including disbursement of vehicle keys, ensuring signature logs are accurately kept, labeling of vehicle books, etc.
  • Process incoming employment applications to Human Resources. Act as point of contact for informational requests including New Employee Orientation dates, agency’s hours of operations, campus locations, etc
  • Maintain working agency filing system.
  • Assist with community campus tours.
  • Maintain safe and presentable lobby environment in keeping with The Opportunity Tree Policies and procedures.
  • Provide administrative support to agency department operations.
Requirements:
  • Minimum of 18 years of age.
  • Excellent communication skills, including the ability to write, speak, and listen effectively in English.
  • Experience: Prior janitorial and cleaning experience preferred but not required.
  • Education: High school diploma or GED.
  • Knowledge: Basic proficiency in MS Outlook, MS Word, MS Excel, web browser.
  • Positive attitude and ability to represent The Opportunity Tree effectively in the community. Ability to work collaboratively as a team member with Members, staff, families, funders and stakeholders.
  • Successful completion and maintain all required training as current which may include CPR, First Aid, and Prevention and Support.
  • Successfully meet AZ-DPS requirements for Fingerprint Clearance Card.
  • Reliable transportation to The Opportunity Tree Phoenix campus.
  • Skills to include but not limited to knowledge of principles in staff interaction, task productivity, time management, problem identification and resolution administration.
  • Current driver license with Non-Restricted Motor Vehicle Record and compliance per the requirements of The Opportunity Tree’s insurance carrier.
