Job Description
GENERAL DESCRIPTION
The Consumer Protection Division of the Office of the Attorney General (OAG) is seeking an Administrative Assistant that performs entry-level to routine administrative support work for the Intake Team. Work involves answering calls from consumers, maintaining filing systems, processes mail, reviews, analyzes, documents, and responds to consumer complaints received by the Office of the Attorney General, and other internal administrative support work.
The Office of the Attorney General (OAG) is a dynamic state agency with over 4,000 employees throughout the State of Texas.The Consumer Protection Division works to protect Texas consumers and the legitimate business community by accepting complaints, conducting investigations, filing civil lawsuits in the public interest to enforce state and federal consumer protection laws, and educating Texans on how to spot and avoid possible scams. The Division has regional offices in Austin, San Antonio, Dallas, El Paso, and Houston.

ESSENTIAL POSITION FUNCTIONS
Administrative Assistant I:
  • Operates multi-line switchboard daily Monday through Friday 8:00 AM to 5:00 PM routing calls and taking messages using a phone log system and making appropriate referrals.
  • Receives, reviews, and distributes incoming mail and processes outgoing mail in a timely and efficient manner.
  • Assists attorneys and staff as able and appropriate with consumer/witness contacts and document delivery and receipt.
  • Scans consumer complaints.
  • Enters and maintains consumer complaints data.
  • Reads, categorizes, and analyzes consumer complaints.
  • Performs complaint searches.
  • Assists in compiling data for summaries and reports.
  • Assists attorneys and staff with complaint investigation and research reviewing background information of businesses as needed.
  • Assists attorneys and staff with file organization and other litigation assistance as needed.
  • Provides general basic secretarial assistance such as copying documents, maintaining hard copy complaint files, and mailing letters as needed.
  • Performs related work as assigned
  • Maintains relevant knowledge necessary to perform essential job functions
  • Attends work regularly in compliance with agreed-upon work schedule
  • Ensures security and confidentiality of sensitive and/or protected information
  • Complies with all agency policies and procedures, including those pertaining to ethics and integrity
Administrative Assistant II : All of the above functions for an Administrative Assistant I, Plus:
  • May provide guidance to others
Administrative Assistant III: All of the above functions for an Administrative Assistant II, Plus:
  • May review and enter complaints as needed.
Qualifications:
MINIMUM QUALIFICATIONS
Administrative Assistant I:
  • Education: Graduation from high school or equivalent
  • Experience: One year of full-time experience working in the following (or closely related) fields: administrative support, clerical work, customer service, general office, secretarial work, or legal support; may substitute thirty credit hours from an accredited college or university for the required experience on a year-for-year basis.
  • Knowledge of office practices and administrative procedures.
  • Skill in establishing and maintaining effective working relationships with other employees and the public
  • Skill in using a computer for word-processing and data entry/retrieval
  • Skill in problem solving
  • Skill in handling multiple tasks, prioritizing, and meeting deadlines
  • Skill in effective oral and written communication
  • Skill in exercising sound judgment and effective decision making
  • Ability to receive and respond positively to constructive feedback
  • Ability to apply to become a Texas Notary
  • Ability to work cooperatively with others in a professional office environment
  • Ability to provide excellent customer service
  • Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)
  • Ability to arrange for personal transportation for business-related travel
  • Ability to work more than 40 hours as needed and in compliance with the FLSA
  • Ability to lift and relocate 30 lbs.
  • Ability to travel (including overnight travel) up to 5%
Administrative Assistant II - All of the above Qualifications for an Administrative Assistant I, Plus:
  • Experience: One additional year of full-time experience working in the following (or closely related) fields: administrative support, clerical work, customer service, general office, secretarial work, or legal support; may substitute sixty credit hours from an accredited college or university for the required experience on a year-for-year basis.
Administrative Assistant III - All of the above Qualifications for an Administrative Assistant II, Plus:
  • Experience: One additional year of full-time experience working in the following (or closely related) fields: administrative support, clerical work, customer service, general office, secretarial work, or legal support; may substitute ninety credit hours from an accredited college or university for the required experience on a year-for-year basis.
PREFERRED QUALIFICATIONS
  • Education: Bachelor's degree from an accredited college or university; experience in the following (or closely related) fields may be substituted for the required education on a year-for-year basis: legal assistance work
  • Experience: using word, excel, adobe pro, sales force
  • Abilities: Type 45 wpm
  • Other Language: Ability to proficiently read, write, and speak Spanish.
